Position Overview

The HR Executive will play a key role in supporting and executing the full spectrum of HR operations across the school’s 21 campuses. The position requires a proactive and detail-oriented professional with 3–5 years of hands-on experience in HR functions, including talent acquisition, onboarding, payroll coordination, performance appraisals, employee records, and exit formalities.
A significant focus of the role is to assist in the digital transformation and computerization of HR processes that have traditionally been handled manually, helping to make the HR function more efficient, data-driven, and transparent.

Roles and Responsibilities

1. Recruitment and Talent Acquisition
  • Support end-to-end recruitment activities, including preparing job descriptions, posting vacancies, screening applications, coordinating interviews, and issuing offer letters.
  • Maintain recruitment databases and ensure timely communication with candidates and campuses.
  • Assist in developing and maintaining an applicant tracking system (ATS) or digital recruitment workflow.
2. Onboarding and Induction
  • Facilitate the smooth onboarding of new employees, ensuring all documentation, background checks, and HR records are completed.
  • Conduct or coordinate orientation and induction sessions for new teachers and administrative staff.
  • Maintain updated employee files (physical and digital).
3. Payroll and Attendance
  • Coordinate with the accounts/payroll team to ensure accurate and timely processing of salaries.
  • Update attendance and leave records through digital or HRMS tools.
  • Verify staff attendance and leave encashment data from campuses.

4. Performance Appraisal and Employee Records

  • Assist in the implementation and monitoring of the annual appraisal process.
  • Help in digitizing appraisal forms, rubrics, and evaluation reports.
  • Maintain and update employee performance data for management review.
5. Employee Separation and Full & Final Settlement
  • Manage the exit process including clearance, feedback, documentation, and handover formalities.
  • Coordinate with finance for full and final settlement calculations.
  • Maintain exit interview records and identify recurring trends for HR improvement.
6. HR Systems and Process Computerization
  • Support the implementation of HR software/HRMS for recruitment, payroll, attendance, and appraisal.
  • Assist in data migration from manual to digital systems.
  • Provide user support and training for campus-level HR representatives.
7. Employee Engagement and Support
  • Assist in staff engagement activities, recognition programs, and internal communications.
  • Address day-to-day employee queries regarding HR policies, leaves, and benefits.
  • Ensure HR policies and practices are implemented uniformly across campuses.
Qualifications and Experience
  • Bachelor’s degree in Human Resources, Business Administration, or Commerce (Master’s preferred).
  • 3–5 years of experience in HR operations, preferably in a multi-branch organisation, school system, or service industry.
  • Working knowledge of HRMS software and basic data analytics tools (Excel, Google Sheets, etc.).
  • Familiarity with statutory compliance requirements (EPF, ESI, POSH, labour laws, etc.).
  • Excellent communication, interpersonal, and documentation skills.
  • Ability to manage multiple priorities and meet deadlines efficiently.
