HR Executive – Roles & Responsibilities (With Payroll Expertise)

1. Recruitment & Hiring

Draft and post job descriptions on hiring platforms

Source, screen, and shortlist candidates

Conduct HR interviews and schedule technical rounds

Maintain candidate tracking sheets

Handle onboarding formalities and joining documentation

2. Employee Documentation & Compliance

Prepare offer letters, appointment letters, and employment contracts

Maintain employee personnel files (soft & hard copy)

Ensure compliance with labour laws and company policies

Manage statutory documentation (PF, ESI, PT, Gratuity where applicable)

Update employee master data regularly

3. Attendance, Leave & Timesheet Management

Track daily attendance, biometric/punch reports

Monitor late arrivals, half-days, absenteeism

Maintain leave records and update leave balances

Coordinate with team leads for monthly timesheet verification

4. Payroll Management (Core Responsibility)

Payroll Preparation

Collect and verify monthly attendance, leaves, overtime, deductions

Ensure accuracy of salary breakup, components, and CTC structure

Prepare monthly payroll sheets in coordination with Finance

Payroll Processing

Process salary as per company policy and statutory rules

Handle salary revisions, increments, and arrears

Maintain confidentiality of payroll data

Salary Disbursement

Coordinate with Accounts for payment transfer

Prepare bank statements, salary registers, and payslips

Share payslips with employees on request

Payroll Compliance

Process statutory deductions (PF, ESI, PT, TDS if applicable)

File monthly PF/ESI returns or coordinate with consultants

Maintain challans, receipts, and statutory registers

5. Employee Relations & Communication

Address employee queries regarding salary, deductions, and leaves

Explain payslip components, tax breakup, and CTC structure

Support grievance resolution professionally

Maintain healthy employee relations and discipline

6. Performance & Appraisal Support

Collect weekly/monthly performance reports

Maintain increment & appraisal data

Prepare appraisal letters and update employee records

7. HR Operations & Administration

Manage employee onboarding, ID cards, and induction

Maintain office discipline, attendance norms, and code of conduct

Support management in implementing HR policies

Assist in organizing training, events, and employee engagement activities

8. Reporting & MIS

Prepare monthly payroll MIS and HR dashboards

Maintain data reports: new joiners, exits, turnover, attendance, payroll summary

Submit weekly and monthly HR reports to management

Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month
