The Senior HR and Admin Executive will be responsible for the efficient management and execution of HR functions and General Administrative operations. This role is crucial in maintaining a positive, productive, and compliant work environment, supporting employees and management across various operational areas.
Key Responsibilities
Human Resources (HR)
- Talent Acquisition & Onboarding:
- Manage the recruitment lifecycle for junior to mid-level roles, including drafting JDs, posting ads, screening resumes, coordinating interviews, and issuing offer letters.
- Oversee the new hire onboarding process, ensuring a smooth transition for all new employees, including documentation, system setup, and induction.
- Employee Relations & Engagement:
- Act as the primary point of contact for employee inquiries regarding HR policies, benefits, and administrative matters.
- Assist in resolving employee grievances and disciplinary matters in line with company policy and labor laws.
- Support and coordinate employee engagement and wellness initiatives.
- HR Administration & Compliance:
- Maintain accurate and up-to-date personnel records (physical and digital) and manage the HR Information System (HRIS).
- Process monthly payroll inputs (leave, attendance, overtime, deductions) and assist with benefits administration (e.g., insurance, provident fund).
- Ensure strict compliance with local labour laws and company internal policies, assisting with audits as required.
- Manage the employee lifecycle administration, including confirmations, transfers, leave, and exit processes.
- Performance & Development:
- Administer the performance appraisal system, ensuring timely completion of reviews and documentation.
- Coordinate and track employee training and development activities.
Administration (Admin) & Facilities
- Office Management:
- Oversee general office administration activities to ensure smooth daily operations.
- Manage vendor relationships and service contracts for office supplies, utilities, maintenance, and facility services (e.g., security, housekeeping).
- Oversee the maintenance and repair of office equipment, infrastructure, and IT assets in coordination with the relevant teams.
- Travel & Logistics:
- Coordinate domestic and international travel arrangements, including flights, accommodation, and visas, as needed.
- Manage logistics for company events, meetings, and conferences.
- Record Keeping & Budget:
- Maintain organized administrative records, contracts, and documentation.
- Assist in monitoring and controlling the HR and Admin departmental budgets.
Qualifications and Requirements
- Education: MBA-HR, or a related field
- Experience: Minimum of 4-5 years of progressive experience in HR and Administration roles, with at least 2 years in a senior/executive capacity.
- Technical Skills:
- Strong command of the Microsoft Office Suite (Excel, Word, PowerPoint).
- In-depth knowledge of local labor laws and statutory compliance.
