About the role

The HR SSC Specialist is a key member of the HR team, responsible for managing employee data, personnel files, reports, and related employee shared services functions. This role serves as the primary point of contact for employee inquiries and ensures all administrative processes—from onboarding to terminations—are handled with the highest level of confidentiality and compliance. This is a on-site position requiring a proactive professional who can balance tactical tasks with data-driven reporting.

What you'll do

1. Employee Lifecycle & Data Management

  • Transaction Management: Execute and audit all HRIS transactions including Hires, Terminations, Leaves of Absence (LOA), Compensation changes, Promotions, and Organizational updates.
  • Records Excellence: Maintain accurate, timely, and compliant filing for both electronic and paper personnel records; ensure the "Single Source of Truth" for all employee data.
  • Reporting & Analytics: Compile and run weekly, monthly, and quarterly ad-hoc reports (Headcount, Time & Attendance, Turnover, etc.) to support business decision-making.

2. Onboarding, Offboarding & Compliance

  • Process Administration: Coordinate the end-to-end onboarding and exit processes, ensuring all required paperwork is completed, verified, and filed according to legal and company standards.
  • Regulatory Correspondence: Act as the point of contact for employment verifications and manage correspondence with the EDD and other local/state regulatory agencies.
  • Legal Compliance: Ensure all HR processes adhere to labor laws; monitor work authorization statuses and initiate necessary alerts for renewals.

3. Employee Engagement & Communication

  • Inquiry Resolution: Manage the HR helpdesk/inbox, responding to employee inquiries regarding policies, benefits, and payroll in a timely, respectful, and professional manner.
  • Internal Comms: In partnership with HR Leaders, draft and distribute employee communications, presentations, and general correspondence to ensure organizational alignment.
  • Project Support: Work on special HR assignments and projects (e.g., policy updates, system migrations, or culture initiatives) as needed.

Qualifications

  • Work Mode: Monday to Friday On-site.
  • Education: Bachelor’s degree in Human Resources, Business Analytics, Business Administration, or a related 4-year accredited discipline.
  • Experience: 2+ years of experience in a Human Resources capacity is preferred.
  • Technical Skills:
    • HRIS Proficiency: Experience with data input and ad-hoc reporting in platforms such as ADP or similar global HRIS.
    • Advanced MS Office: High proficiency in Word, Excel, PowerPoint. Advanced Data Analysis skills are highly preferred.
  • Language: Professional fluency in English is preferred for cross-regional communication.
  • Soft Skills:
    • High Integrity: Demonstrated ability to handle and coordinate highly confidential information with discretion.
    • Self-Starter: Able to work independently with minimal supervision, prioritize tasks in a fast-paced environment, and maintain a "can-do" learning attitude.
    • Communication: Excellence in both verbal and written communication.
