Position Summary
The HRIS Administrator is an entry-level responsible for supporting the day-to-day operations of the Human Resources Information System (HRIS). This position ensures accurate data entry, provides Tier 1 user support, assists with routine reporting, and helps maintain system integrity. The HRIS Administrator partners closely with the HRIS team, Payroll, and HR functions to ensure employees and managers receive timely and accurate support while developing foundational HRIS knowledge for career growth.
Key Responsibilities
Data Entry & Maintenance
- Process employee transactions (new hires, terminations, transfers, job changes, etc.) in the HRIS.
- Maintain accuracy of employee records by performing routine audits and corrections.
- Ensure data is entered in compliance with policies, regulations, and system standards.
System Support
- Serve as the first point of contact for HRIS-related questions from employees and managers.
- Troubleshoot basic system issues, escalating to HRIS Analysts as needed.
- Provide support with password resets, navigation questions, and self-service functionality.
Reporting & Audits
- Run standard reports (headcount, turnover, birthdays, compliance reports).
- Support audit processes by preparing data extracts and reconciling records.
- Assist HRIS Analysts in gathering data for more advanced reporting projects.
Process & Documentation
- Maintain and update user guides, job aids, and training resources for employees and managers.
- Document frequently asked questions and support common troubleshooting.
- Recommend opportunities to improve accuracy and efficiency in data entry.
Learning & Development
- Gain hands-on experience with HR technology and build knowledge of HR processes.
- Participate in training on HRIS modules, reporting tools, and system best practices.
- Develop toward an HRIS Analyst career path within 18–24 months.
Skills & Competencies
- Detail-oriented with strong organizational and data entry skills.
- Basic knowledge of HR processes (onboarding, benefits, payroll) preferred.
- Strong customer service and communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Excel, Word, and Outlook; experience with HR systems is a plus.
Qualifications
- Associate or Bachelor’s degree in Human Resources, Information Systems, or related field; or equivalent experience.
- 0–2 years of HR, Payroll, or HRIS experience (internship or entry-level role preferred).
- Interest in developing a career in HR technology and systems administration.
