Position Overview:

The Human Resource Assistant provides essential administrative and operational support to the HR department. This role ensures smooth daily HR functions by maintaining accurate employee records, supporting recruitment and onboarding processes, coordinating training activities, and assisting with compliance across all HR procedures. The HR Assistant also plays a key role in employee communication, documentation management, and ensuring follow-through across HR initiatives.

Key Responsibilities:

Administrative Support
  • Provide project support and in-person assistance with routine administrative task including file organization, front desk coverage, and event setup.
Training Records
  • Review, update, and maintain employee training records.
  • Ensure digital files are accurate, complete, and consistently updated in HR systems.
Documentation & Reporting
  • Process HR documentation related to staffing, recruitment, training, grievances, corrective action, and performance evaluations.
  • Prepare or update reports as needed.
  • Handle administrative updates such as name changes, system access issues, and password resets (Relias, Paycom, etc.).
Employee & Benefit Outreach
  • Conduct outreach to employees regarding HR updates, training reminders, missing documents, and other required follow-ups.
  • Perform benefit-related outreach to employees as directed, including gathering updates, verifying information, and assisting with enrollment or clarification needs.
Audit & Compliance
  • Conduct periodic audits of personnel files to ensure all required documents are collected and compliant with HR and record-retention standards.
  • Assist with internal audits and support corrective actions when discrepancies arise.
Communication & Memos
  • Prepare and assign memos to individuals, teams, or agency-wide based on departmental or leadership requests.
HR Inbox Management
  • Monitor the HR inbox daily, respond to inquiries, resolve issues, and escalate matters as needed.
Reporting, Logs & Compliance Support
  • Support HR reporting needs related to performance evaluations, goal tracking, and compliance requirements.
  • Maintain accurate call logs and outreach logs to ensure documentation of employee communication, follow-up actions, and completion timelines.
Other Duties
  • Perform additional tasks and special assignments as directed by the Supervisor to support evolving departmental and agency needs.

Minimum Qualifications:

Age Requirement: Minimum age of 18.

Educational Requirements High School Diploma or GED required

Experience Minimum 1 year in administrative role required

Flexibility: General Flexibility

Drivers Status: Frequent Driver , Required

Physical Demands: The nature of tasks may vary based on the individuals being supported. This may include assisting with toileting and hygiene, which could involve lifting. Reasonable accommodation will be considered to enable individuals with disabilities to fulfill essential job functions.
