The
HR Manager
is responsible for the planning, delivery and maintenance of the human resources function within IMKAN Estate (under Imkan Properties).
This role is responsible for all areas of the human capital process including remuneration, recruitment, policy maintenance, performance management, employee engagement, planning and reporting, etc. The role will require a highly accomplished HR professional with a proven track record of managing human capital within the UAE.

Key Responsibilities:
Responsible for the overall recruitment strategy of the company, including but not limited to the following
:

Proper manpower planning in cooperation with the Heads of Departments

Negotiate agreements with recruitment partners
-
Liaising with recruitment partners and assigning vacancies accordingly
-
Adhering to HR policy and ensure correct hiring protocols are followed
-
Prepare shortlist of candidates and present to the Line Manager
-
Coordinate and schedule interviews with shortlisted candidates
Responsible for successful onboarding of selected candidate:
-
Prepare offer letter and employee file of chosen candidate
-
Adhere to HR policy and prepare Initiation to Hire and seek approval
-
Coordinate with candidate and agree on joining date
-
Responsible for governmental requirements and ensuring that the residency and work permit is obtained prior to the candidate joining
-
Proper induction process upon joining of the new candidate. Give presentation and prepare welcome pack and welcome email to the team members
Responsible for Payroll and Reconciliation:

Prepare the monthly payroll of all employees
-
Ensure that the monthly Paylite system is updated
-
Payroll reporting after closing the payroll and prepare financial reports for Finance Team
-
Payroll planning and monthly provision reports for finance and HR
Update HR policies in accordance with company protocol and company specific requirements:
-
Ensure that internal HR Policies are in line with Corporate Policies and Procedures
-
Update policies in cooperation with the Line Manager and seek approval and sign-off
-
Save policies in Shared Folder and liaise with the rest of the team members
Ensure Leave of employees are properly managed and a healthy balance maintained:
-
Processing of Leave in Payroll System
-
Ensure that employees maintain a healthy leave balance
-
Leave reporting to finance on a monthly basis
-
Maintain and plan leave per department and keep leave tracker updated
-
Communication with employees regarding their leave balances and processing
Manage internal disciplinary and grievance procedure:
-
Provide guidance to Line Managers pertaining to the disciplinary and grievance procedures
-
Schedule disciplinary and grievance hearings, document and provide guidance on the suggested sanction
-
Ensure that Line Managers adhere to company policy pertaining disciplinary and grievance procedures
Responsible for managing the IMKAN G&A, HR Reporting, Organizational Structure amendments and adhoc HR tasks:

Ensure that the Organizational Structure is up to date and agree on management approval
-
Prepare HR reports to business units on request and monthly basis
-
Prepare the G&A Budget and revise based on business needs
-
Give assistance and guidance and management of the G&A per department
-
Prepare various HR reports related to G&A;
-
Airfare Allowance administration and calculation in accordance with the HR Policies and Procedures
-
Medical insurance management. Enroll new members, give training and guidance on Daman app usage, cancel medical insurance upon visa cancellation, manage expenses related to medical insurance
Overall HR Administration for the whole company:

Responsible for maintaining and upkeep of all employee files
-
Issuance of adhoc letters to employees, e.g. salary certificates, salary transfer letters, payslips, etc.

Keep a database of all letters issued by HR
-
Prepare adhoc surveys and conduct an annual Employee Engagement Survey.
Management of governmental relations within the company:
-
Plan daily schedule of PRO
-
PRO reporting and ensure that residency permits and labour contracts are issued within fines being imposed
-
File necessary documents in the employee files
-
Reporting to finance on a monthly basis and ensure that expenses do not exceed the budget
-
Ensure that Trade Licenses are up to date and valid
Ensure proper Exit Procedure is followed once the team member leaves the company:
-
Prepare all Exit documentation upon employee exiting the company
-
Conduct Exit-interview and give feedback to management
-
Ensure that the Final Settlement has been prepared in accordance with Labour Legislation and company policy
Responsible for the annual performance management process:
-
Follow the HR Policy pertaining to Performance Management
-
Design the Performance Goal Setting template in accordance with the approved business plan
-
Distribute Performance Management Goal Setting template and manage the performance cycle
-
Ensure all goal setting templates are received on time, moderate and send for approval and sign-off
-
Prepare the overall results and present to senior management
-
If applicable, do the bonus calculations and reporting accordingly

If applicable, prepare increment letters and coordinate the issuance thereof
Key Requirements:
-
Minimum 8+ years of industry experience within HR
-
Experience working within the UAE and knowledge of UAE labor legislation
-
Bachelor’s/Master’s Degree in Human Resources or similar qualification
-
Strong interpersonal skill and Arabic speaking
