We are currently recruiting a Human Resources Administrative Specialist to join our team! The HR Administrative Specialist provides day-to-day administrative and operational support to the Human Resources department. This role assists with payroll processing, employee records, recruiting coordination, and HR compliance tasks. The ideal candidate is organized, detail-oriented, and able to handle confidential information with professionalism and discretion. The Specialist will have direct support from the Regional HR Manager as well as the other HR Professionals in the Western Region.

This is a 100% onsite position in our Petaluma, CA facility. This facility is the main hub for our Wine Business Unit.

Responsibilities:

  • Support the HR team in communicating and maintaining company policies and procedures
  • Assist with bi-weekly payroll preparation by verifying hours worked and reviewing timekeeping reports; experience with ADP Workforce is preferred
  • Maintain accurate employee records, personnel files, and HR databases
  • Track employee leave, PTO, and sick time in accordance with company policy and California state requirements
  • Coordinate onboarding activities, including new hire paperwork, background checks, and orientation scheduling
  • Support recruiting efforts by posting jobs, scheduling interviews, and assisting with candidate communication
  • Help organize employee engagement initiatives, recognition programs, and HR-related communications
  • Assist in safety documentation, training recordkeeping, and incident reporting
  • Provide administrative support for performance review tracking and other HR processes
  • Respond to routine employee inquiries regarding HR policies, benefits, and general HR procedures

Qualifications:

  • Associate degree or equivalent work experience; bachelor's degree in Human Resources, Business, or a related field preferred
  • 2+ years of HR or administrative experience, preferably in a manufacturing, logistics, or similar environment
  • 2+ years of Employee Relations experience
  • Working knowledge of HR principles, employment laws, and payroll processes
  • Excellent communication, organizational, and time-management skills
  • Proficient in Microsoft Office Suite; experience with HRIS systems (especially ADP Workforce Now) preferred
  • Ability to handle confidential information with integrity and discretion
  • Strong attention to detail and a proactive approach to problem-solving
Responsibilities:
  • Answer and screen telephone calls, and arrange conference calls.
  • Greet visitors and maintain the appearance of the lobby area.
  • Prepare daily billings by comparing packing lists with the corresponding customer purchase orders and verifying accuracy against the Pre-Invoice Edit List. Return job jackets to Customer Service and forward completed billings to the Customer Service Manager.
  • Organize and maintain filing systems. File job jackets, loose job tickets, finished goods tickets, quotes, and correspondence. Match approvals with job jackets and file accordingly. File all invoices and purchase orders.
  • Route incoming mail. Deliver payables and receivables to Accounting and distribute remaining mail to appropriate mailboxes.
  • Receive and route incoming faxes to the proper mailboxes. Pair faxed orders with the corresponding job jackets and route to Customer Service.
  • Check freight bills against invoices. Archive obsolete files.
  • Verify accuracy of payables before preparing for mailing. Compare check amounts and remittance addresses against the payables list. Record payment information on the file copy of the invoice. Collate, stuff, and stamp invoices, payments, and envelopes; place in outbound mail.
  • Prepare and organize expense reports for members of senior management.
  • Order and maintain appropriate levels of office supplies, including file folders, envelopes, copy/fax paper, and toner. Requisition replacement supplies as needed.
  • Maintain a supply of necessary forms in the file room in an organized, meticulous fashion.
  • Compose and type routine correspondence with a high level of attention to detail.
  • Coordinate schedules and make appointments for members of senior management and sales representatives.
  • Arrange and coordinate travel schedules and reservations as needed.
  • Coordinate and arrange meetings, prepare agendas, and reserve and prepare facilities.
  • Make copies of correspondence or other printed materials to support staff and clients.
  • Prepare outgoing mail and correspondence, including emails and faxes.

  • Have outstanding communication skills, with the ability to effectively present information and respond to questions from managers, clients, customers, and the general public.
Qualifications:
  • Associate's degree (A.A.) or equivalent from a two-year college or technical school; or two years of related experience and/or training; or an equivalent combination of education and experience.
  • Three or more years of experience working as an Administrative Assistant, Office Manager, or in a similar role is preferred.
  • Previous experience working in a manufacturing or similar environment is a strong plus.
  • Ability to calculate figures and amounts such as discounts, proportions, and percentages.
