Position Details

Job title: Business office and human resources intern

Location: Neigebaur Administration building, human resources office, front desk

Reports To: Director of Human Resources (in collaboration with the Business Manager)

Duration: Full School Year

Hours: 8am – 5pm, full time, with one hour unpaid lunch

Compensation: $18.00 per hour
Job Summary
The Business Office and Human Resources (HR) Intern will gain hands-on experience by supporting the daily operations of the central administrative services for a dynamic K-12 public school district. This role offers a unique opportunity to learn about public sector finance, school district budgeting, payroll, benefits administration, recruitment, employee relations, and state/federal compliance. The intern will split their time between the Business/Finance Office and the Human Resources Department, providing administrative and technical support for various projects and tasks.
Essential Responsibilities
Business Office / Finance Responsibilities (Approx. 25% of Time)

  • Support the preparation and distribution of payroll, including data entry and verification of employee time/attendance records.
  • Provide administrative support, such as compiling financial reports, organizing documents, and managing electronic and physical files.
  • Assist Business Department in preparation of Program Audits

Human Resources Responsibilities (Approx. 75% of Time)

  • Assist with the recruitment and onboarding process, including posting job openings, scheduling interviews, preparing new hire paperwork and requesting teacher permits
  • Ensure the accuracy and confidentiality of employee files, both digital and physical, adhering to strict data privacy standards
  • Support the benefits administration process by organizing open enrollment materials and answering basic employee inquiries
  • Support with district employees, substitutes and volunteer background checks
  • Assist in compiling data for various HR reports (e.g., staffing levels, turnover rates, registry of educational personnel (REP)
  • Research and summarize key state and federal regulations impacting public school employment (e.g., FMLA, teacher certification requirements, compliance updates)
  • Assist with general office tasks, including answering phones, greeting visitors, processing mail, monitoring HR department email/fax, and preparing correspondence

Qualifications
Required Qualifications

  • Currently enrolled in or a recent graduate of an accredited college or university, pursuing a degree in Business Administration, Finance, Accounting, Human Resources, Public Administration, or a related field
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software systems
  • Demonstrated organizational skills, attention to detail, and a commitment to accuracy.
  • Excellent written and verbal communication skills
  • Ability to maintain strict confidentiality concerning financial and personnel matters
  • Must be able to pass a required background check and fingerprinting mandated for school district employees

Preferred Qualifications

  • Prior experience or coursework in finance, accounting, or human resource management
  • Familiarity with K-12 education systems, public sector operations, or non-profit organizations
  • Experience with financial or HR information systems (e.g., AS400, Munis, specialized school software)
  • Junior or Senior level standing in a relevant degree program

Physical Requirements
The work is primarily performed in a standard office environment. While performing the duties of this job, the employee is regularly required to walk, talk, hear, sit, stand, use hands and arms. The employee may occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
