Job Overview
The Human Resources Assistant provides administrative and clerical support to the Human Resources Manager, assisting with recruiting, onboarding, employee records, and daily HR operations. This position ensures compliance with company policies, state and federal regulations, and supports a positive and efficient work environment.

Responsibilities

  • CUSTOMER SERVICE. Greeting and assisting residents, employees and vendors within the Administration Office. Answering phone calls, triages calls, receives and delivers messages.
  • EMPLOYEE COMMUNICATIONS. Assists with distribution of memos, newsletters, updates employee bulletin board, ensures all legal notices are posted, and disseminates other pertinent information, as needed.
  • REPORTS. Compiles data for review and sends out monthly reports as required. Maintains spreadsheets and follow-up with respective party to ensure deadlines are met and correct paperwork is completed.
  • RECRUITING AND HIRING. Posting all job vacancies on recruiting platforms and One Kalakaua Career’s website. Scheduling interviews, new hire orientations and pre-employment screening appointments. Conducting background and reference checks for all new hires.
  • EMPLOYEE BENEFITS. Processes invoices in a timely manner and assists with the processing of employee services/benefits deductions. Provides assistance in preparing paperwork for claims.
  • UNIFORMS. Maintaining inventory and distribution of employee uniforms.
  • DATA ENTRY. Assists with the tracking, maintaining and entering pertinent information into the HR and accounting databases. Assists with tracking and ensuring that all required licenses, certifications, immunizations and all other requirements are current. Prints & disseminates pertinent tracking & auditing reports on a monthly basis.
  • FILE MAINTENANCE. Assists with entering, scanning and filing all pertinent documents.
  • PROJECTS. Assists intradepartmental areas with their respective projects. Including but not limited to filing, copying/scanning, coordinating communication/flyers, collating training materials, making folders/binders, etc.
  • RECORDKEEPING. Ensures that all requirements are fulfilled for State of Hawaii Department of Health record keeping by filing all required documents timely and appropriately. Maintaining recordkeeping system and filing of other documents in a timely manner.
  • Stay updated on OSHA regulations, FMLA guidelines, and other relevant employment laws to ensure compliance.

Job Type: Part-time

Pay: $22.00 - $25.00 per hour

Expected hours: 18 per week
