About the Role:
We are seeking a detail-oriented and proactive Human Resources Assistant to join our team. This role is vital to the smooth operation of our HR department, supporting administrative functions, payroll processing, recruiting, and onboarding activities. You’ll work directly with the HR Manager and cross-functional teams to ensure a seamless and professional employee experience.
Key Responsibilities:
Administrative Support:
Schedule meetings, manage calendars, and coordinate travel.
Prepare internal documents, reports, memos, and presentations.
Maintain office supplies and assist with company events and internal communications.
Handle reception duties, including greeting visitors and managing incoming mail and calls.
Payroll Support:
Audit and process timecards for 150+ employees across multiple locations.
Enter and update payroll data in ADP.
Monitor PTO balances and assist with payroll inquiries.
Maintain confidentiality of sensitive payroll and personnel information.
Recruiting & Onboarding:
Post job ads, screen resumes, and schedule interviews.
Coordinate background checks, E-Verify, and DBIDS processing.
Assist with onboarding paperwork and first-day orientation.
Maintain applicant tracking logs and assist with hiring reports.
HR & Compliance:
Maintain accurate employee files (digital and physical).
Support labor and headcount reporting.
Assist with filing and organizing legal and HR documents.
Help with special projects and company compliance needs.
Qualifications:
High School diploma or GED required; Associate or Bachelor’s degree preferred.
2+ years in HR, administrative, or payroll support roles.
Experience with ADP and applicant tracking systems is a plus.
Strong organizational skills and attention to detail.
Proficient in Microsoft Office (Word, Excel, Outlook).
Excellent communication and interpersonal skills.
Must be able to handle confidential information professionally.
