Summary

Hyatt Centric Key West is seeking a dedicated and organized Human Resources & Operations Coordinator to join our resort team. The Hyatt Centric is centrally located within Old Town and a short stroll to the lively Duval Street.

The ideal candidate will assist with essential HR functions, including Monday payroll processing, recruiting, onboarding new colleagues, maintaining accurate HR systems, conducting new hire orientation, and planning colleague events. Additionally, the Coordinator will support operational functions for Jala Spa and Four Flamingos, A Richard Blais Key West Kitchen, including marketing efforts, managing daily spa preparations, and driving revenue growth. This role requires attention to detail, strong communication skills, and the ability to work independently. The HR & Operations Coordinator will help ensure the smooth operation of both HR and operational functions while contributing to fostering a positive workplace culture for all colleagues.

HR Responsibilities:

  • Payroll Administration: Process payroll each Monday, ensuring all colleague hours are accurately recorded and submitted in a timely manner. Verify payroll data for any discrepancies and ensure compliance with Hyatt’s payroll guidelines.
  • Recruitment: Assist with recruiting efforts by posting job openings, reviewing applications, conducting phone screenings, and scheduling interviews. Help coordinate interviews between hiring managers and candidates.
  • Onboarding: Lead the onboarding process for new colleagues, including preparing new hire paperwork, conducting orientation, and ensuring all necessary documentation is collected and accurately entered into HR systems.
  • Colleague File Management: Maintain accurate and up-to-date colleague files in HR systems, ensuring compliance with company policies and legal requirements. Regularly audit files for completeness and accuracy.
  • New Hire Orientation: Facilitate new hire orientation sessions once per quarter, providing essential information to new colleagues about Hyatt’s policies, benefits, and company culture. Ensure they feel welcomed and informed.
  • Colleague Events: Plan and execute various colleague events to promote engagement, recognition, and a positive work environment. Assist with organizing receptions, celebrations, and other HR initiatives.
  • HR Systems Management: Use Hyatt’s HR systems to manage colleague data, track performance, monitor compliance, and assist with reporting.
  • General HR Support: Provide administrative support to the HR team, such as preparing reports, scheduling meetings, and assisting with HR projects as needed.

Jala Spa Operations & Marketing Responsibilities:

  • Spa Marketing: Develop and implement marketing strategies to increase spa visibility and revenue, including social media, email marketing campaigns, and partnerships with local businesses and influencers.
  • Daily Spa Preparation: Oversee daily operations and preparation of the spa, ensuring all treatments, appointments, and client needs are met with excellence. Ensure spa cleanliness and maintenance are upheld to Hyatt standards.
  • Revenue Growth: Collaborate with management to identify opportunities for increasing spa revenue through promotions, packages, and cross-selling with other hotel services.
  • Team Coordination: In collaboration with ADOO, assist in training and managing spa staff, ensuring efficient and professional service delivery. Provide support for the scheduling and staffing of the spa, ensuring appropriate coverage and optimal guest satisfaction.
  • Customer Experience: Monitor guest feedback and implement improvements to enhance the spa experience. Ensure high levels of satisfaction and promote repeat business.

Four Flamingos Restaurant Marketing & Administrative Responsibilities:

  • Restaurant Marketing: Assist in the creation and execution of marketing initiatives for Four Flamingos, including social media management, influencer engagement, email campaigns, and local outreach efforts.
  • Brand Promotion: Support the restaurant in developing and maintaining its brand identity in the local community and beyond. Help create content for promotional materials and digital platforms.
  • Event Coordination: Assist in planning and promoting special events, menu launches, and promotions at Four Flamingos to drive traffic and increase revenue.
  • Administrative Support: Provide administrative assistance for restaurant operations, including tracking inventory, processing orders, and supporting the management team with daily operational tasks as needed.

Qualifications

  • Previous experience in human resources, marketing, or operations, preferably in a hospitality setting.
  • Strong organizational skills and the ability to multitask effectively.
  • Attention to detail and accuracy, particularly with payroll, colleague files, and marketing materials.
  • Excellent communication skills, both written and verbal.
  • Proficiency in HR systems, Microsoft Office Suite (Excel, Word, Outlook), and basic marketing tools (social media platforms, email marketing software).
  • Ability to work independently and manage time effectively.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A positive caring attitude, warm smile, and the ability to contribute to a collaborative team environment.
  • Availability to work full time, typically Monday through Friday from 8:30 am to 5:00 pm.
