Position Title: Human Resources Assistant


Pay Grade: 13 Period of Employment: 12 months

General Responsibilities
: Provides administrative and technical support to the Human Resources Department in the areas of benefits administration, leave management, records maintenance, and employee wellness.


Essential Duties:

  • Assists the Benefits Administrator and HR Specialist with onboarding, data entry, reporting, and benefits-related transactions.
  • Processes benefit enrollments, changes, reimbursements, and verifications in accordance with established procedures and deadlines.
  • Prepares correspondence and communications for the benefits office, including employee notifications, benefit information, posters, and documentation requests.
  • Assist Human Resources Specialist with administrative tasks associated with workers’ compensation and Family Medical Leave Act (FMLA).
  • Oversees personnel file audits to ensure completeness, accuracy, and compliance with retention and confidentiality standards.
  • Maintains and updates digital personnel records, ensuring consistent organization and secure access.
  • Updates and maintains benefits page on the MCPS website
  • Generates and compiles reports to support benefits administration, compliance tracking, and departmental needs.
  • Provides administrative support for HR operations and assists employees with routine inquiries related to benefits and personnel records.
  • Manages and tracks completion of the division’s Workers’ Compensation training video.
  • Ensures all FMLA and Workers’ Compensation compliance notices are up to date and visible at all loca
  • Reviews leave records and reconcile time entry between Absence Management and Munis syste
  • Assist with leave transfers
  • Verifies accuracy of HR data across platforms and assists with audits or reconciliations as required.
  • Collaborates with team members to improve efficiency and maintain consistency across HR processes.
  • Assist with all large Benefits projects
  • Process tuition reimbursement requests
  • Coordinates ongoing division wide wellness activities (i.e., intramurals).
  • Compiles and maintains electronic employee personnel files.
  • Performs other job duties as assigned.


Requisite Knowledge, Skills, and Abilities:

  • Knowledge of the methods and practices of personnel administration.
  • Knowledge of MUNIS or other HRIS system and TalentEd.
  • Ability to multi-task with accuracy, balance multiple priorities, and meet established deadlines.

Requisite Education and Experience:


  • Must possess a High School Diploma or GED. Associate’s degree or higher preferred.
  • Experience or training in human resources or as an administrative associate preferred
  • Proficient in Microsoft Office applications.
  • Experience with an HRIS system and electronic employment application and recordkeeping system.


Physical Requirements:


Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to: a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, or repetitive motions required.
