The Human Resources Assistant supports Human Technologies’ mission of Creating Employment for People with Disabilities by assisting with the day-to-day administrative work of the department. The Human Resources Assistant role is critical to ongoing recruitment and retention efforts.

Hours are Monday- Friday from 8:00 AM- 4:30 PM.

Predominant Tasks:
1. At the direction of the Manager of Human Resources, performs various administrative responsibilities in support of the Human Resources operation. This involves but is not limited to the following:
  • Assist in the talent acquisition process by scheduling interviews as needed. Assist with posting process as needed.
  • Track and provide correspondence for candidates.
  • When applicable, inform applicants of acceptable forms of disability documentation (e.g. ACCES-VR records, IEPs, etc. – refer to documentation list)
  • Inform applicants of acceptable forms of identification based on I-9 requirements, and then all proper forms of identification once an offer of employment is made and accepted.
  • Prepare offer letters as directed by the Letter of Appointment and through regular
communication with Talent professionals. Ensure that letters are accurate before presenting to the Vice President of Human Resources for signature.
  • Ensure that all proper work-related apparel is ordered, badges are made, and all items are delivered in time for the new hire’s start date.
  • Track and provide correspondence for candidates.
  • Work with HR Department to initiate reference checking and background checks as
required and/or assigned.
  • Track down all necessary paperwork for new hires and ensure they are stored in the system.
  • Call new hires to welcome them to the organization and to schedule their new hire orientation. Inform new hires of required documentation, once again, and instructions for participation in the onboarding process.
  • Work with the Talent and Onboarding Coordinator to schedule all new hire orientations. This includes but is not limited to scheduling rooms, creating a schedule for presenters, informing presenters of their time slots and placing appointments on calendars, and preparing any welcome materials for the day of the program.
  • Prepare all departmental letters whether the letter is for an offer of employment, a change in employment, a separation, or if it is a benefits-related letter. Details of letters will come from Letters of Appointment or through direct instruction from a member of the Human Resources team. Ensure that all letters are accurate, free from errors, and signed by the appropriate party.
  • Use the system (UKG) to perform personnel actions such as completing the hiring process, processing job changes (changes to positions, supervisors, pay rates, disciplinary notices, verifications of employment, etc.) including separations. Perform these actions timely so they are done for Payroll. Prepare associated letters.
  • Assist in the preparation and dissemination of benefits information as directed by the Benefits Administrator or the Vice President of Human Resources.
  • Assist in the preparation and dissemination of Wellness program information as directed by the Benefits Administrator or the Vice President of Human Resources.
  • Assist in the preparation and dissemination of organization-wide gifts, such as Thanksgiving gift cards.
  • Manage ancillary programs such as the applicant referral bonus program, the Sunshine Fund, and the coordination of labor poster compliance.
  • Assist with the coordination of training opportunities as directed by the Vice President of Human Resources, the Manager of Human Resources, or the Benefits Administrator. This includes but is not limited to scheduling training, tracking participation, and the ordering/pick up of any food/refreshments.
Additional Tasks:
  • Field general Human Resources calls in the absence of the Director of First Impressions and direct calls to the appropriate parties. Cover the front desk as needed.
  • Participate in/attend training as required by the Manager of Human Resources. May be tasked in developing and delivering Human Resources-related training on recruitment, selection, onboarding, and other HR-related topics.
  • Maintain strict confidentiality of all information contained in reports, communications and files. Serve and participate on internal corporate committees and external committees as appropriate.
  • Comply with safety policies and procedures for safety of self and others.
  • If time allows and if there are no other pressing HR obligations, assist other departments with administrative tasks.
  • Perform other duties as may be assigned by the Manager of Human Resources or VP of Human Resources.


Qualifications:
1. Associate’s Degree in related field.
2. Three (3) years’ experience in a human resources or related field.
3. A combination of education and experience substantially equivalent to the above.
4. Excellent verbal and written communications skills.
5. Excellence in multiple computer programs such as word processing, spreadsheets and email.
6. Must have a valid Driver’s License, reliable transportation and have and maintain a
driving record in accordance with Human Technologies’ Liability/Automotive Insurance carrier.
7. Must pass any required federal, state, municipality, and/or customer-specific background checks.

As per NYS Law, the full salary range is $20.89- $29.50 per hour. However, our Compensation System is designed to hire new employees between the rates listed above.
