Join our team as our Human Resources Assistant to help us build a dynamic workforce while supporting our commitment to employee engagement and satisfaction. California Children's Academy is seeking a well detail-oriented and proactive Human Resources Assistant to support our HR department in various administrative tasks. The ideal candidate MUST have background knowledge in HR. This position will play a crucial role in performing a wide variety of Human Resources daily operations such as employee onboarding, recruitment, benefit administration and general HR functions.

Working under the HR Generalist, the HR Assistant is responsible of the following, but not limited to:

Responsibilities

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Conducts or assists with new hire orientation, onboarding and employee retention.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Attends training related to field, attends employment fairs and/or work meetings as requested.
  • Assists with coordinating meetings and training sessions; coordinates facilities/location and refreshments; secures necessary media equipment; distributes meeting announcements; and prepares and distributes meeting materials; ensures room is vacated and tidy after event.
  • Maintains absolute confidentiality regarding staff, children, families and the finances of CCA in compliance with agency policies and other regulations
  • Exercises good judgment in the performance of duties and responsibilities.
  • Communicates in a professional manner.
  • Performs other duties as assigned.

Position Requirements

  • At least two years of experience working in an HR role and/or related role
  • High School Diploma or equivalent. AA or Bachelor's degree in Human Resources or related field highly preferred.
  • Excellent verbal and written communication skills. Bilingual (English/Spanish) is required.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent customer service skills, with the emphasis to understand, provide solutions and help out individuals. Requires being responsive, service oriented, approachable and a good team player.
  • Excellent organizational skills and attention to details
  • Working understanding of human resource principles, practices and procedures and/or willingness to grow in the position by attending HR trainings, conferences, etc.
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high- paced and at times demanding environment.
  • Proficient with Microsoft Office Suite or related software. Familiarity with Paylocity payroll systems is a plus.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications
  • Sensitivity to the different cultures represented among clients and staff
  • Ability to establish and maintain routine files, records and official documents

Health/Safety Clearances require:

  • Proof of recent tuberculosis test and must submit updated testing/results as per agency internal requirements.
  • Pre-employment health screening report upon hiring and as per agency internal requirements.
  • Fingerprint clearance on DOJ, FBI and CA thru Community Care Licensing.
  • Proof of adult mandatory vaccinations: influenza (annual requirement) and/or waiver, Tdap (booster every 10 years) &/or proof of immunity provided by physician AND measles vaccination and/or proof of immunity provided by physician.

Job Type: Full-time

Base Pay: $22.50 - $24.50 per hour
