Position: HR Assistant/ Front Receptionist (Full Time)
Reports to: Human Resources Manager

Position Mission: This position provides daily support to the Human Resources department and serves as the first point of contact for visitors and employees. The ideal candidate will be detail-oriented, professional, and able to handle multiple responsibilities with accuracy and confidentiality.
Compensation: Hourly, Overtime Non-Exempt; Wage Range: $20.00 to $26.00/ per hour

Primary Activities:
Administrative and HR Support
- Maintain accurate timekeeping records and correct missed punches in Paychex.
- Communicate with supervisors to verify attendance and update the Attendance Points workbook.
- Record call-offs, point updates, and prepare attendance reminder forms for employees.
- Assist with employee onboarding and terminations including setting up and removing employee records in Paychex and other internal systems.
- Enter employee changes such as transfers or pay adjustments and ensure proper documentation is received.
- Support HR with benefit enrollments, open enrollment updates, and uniform orders.
- Prepare and distribute employee recognition materials including birthday and anniversary acknowledgments.
Front Desk and Reception Duties
- Greet visitors and provide a welcoming environment for guests and employees.
- Answer and direct incoming calls to the appropriate departments.
- Sort and distribute incoming and outgoing mail.
- Prepare outgoing checks and ensure timely mailing for the accounting department.
- Maintain a clean and organized front office area.
Reporting and Payroll Assistance
- Assist with bi-weekly payroll preparation by ensuring timecards are accurate and approved.
- Run reports, enter adjustments, and communicate with managers for missing hours.
- Prepare weekly and monthly reports such as metrics, labor distribution, and benefit invoices.
General Support
- Assist employees with Paychex access, attendance questions, and employment verifications.
- Help coordinate employee appreciation lunches and company events.
- Maintain office supplies and restock beverages and snacks as needed.
- Handle confidential information with discretion and professionalism.
Qualifications
- Prior experience in an administrative or HR support role preferred.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office and familiarity with Paychex or similar HR systems is a plus.
- Ability to manage multiple tasks while maintaining accuracy and confidentiality.
