Human Resources Associate

The following statements are intended to describe the general nature and level of work being performed. They are not to be construed as an exhaustive list of all duties and responsibilities required of personnel so classified.


Position Summary:

The Human Resources Associate directly supports the Director of Human Resources to ensure that all benefit, policies and employment practices are followed and administered in an honest, consistent, fair, and equitable manner that maintains the confidentiality and integrity of the Human Resources Department. Associate must be able to plan, organize, and follow through on tactical projects and strategic initiatives, effectively use time management techniques, work independently, and exercise common sense to reach sound professional judgments on issues within areas of responsibility.


Core Duties and Responsibilities:

  • Assist the Director of Human Resources in the research, design, implementation, and maintenance of HR software modules that enhance the service delivery of the Human Resources Department and the company, including updating and maintaining electronic employee records.
  • Create and publish required personnel management reports as requested.
  • Work closely with the Director of Human Resources to update company and human resources policies and procedures to ensure that they stay current with state and federal law, and with HR best practices.
  • Work closely with the Director of Human Resources to ensure consistent implementation of company and human resources policies and procedures.
  • Contribute effectively to the accomplishment of work goals, objectives, and activities within the department. Initiate and share positive ideas that will improve department functions and roles.
  • Exercise tact and diplomacy in dealing with sensitive, complex, and confidential personnel issues and employee situations.
  • Oversee and lead the screening and recruiting process for all Enki locations.
  • Oversee and lead pre-employment onboarding to ensure that all requirements are completed in a timely and efficient manner. Ensures that all new hires successfully complete the LiveScan fingerprint and electronic onboarding process.
  • Assure that registered, certified and licensed personnel’s status is checked with the appropriate licensing board and stays current.
  • Oversee maintenance of all external and internal reporting data on new hires and terminations and submit necessary information on a timely basis to ensure that all required reports are timely filed, including taxonomy updates.
  • Establish and maintain effective working relationships with the Benefits Administrator to ensure consistent and timely communication regarding staff eligible benefits.
  • Enter Personnel changes into the HRIS system, and work with payroll to ensure that changes are timely processed.
  • Oversee Workers’ Compensation reporting, MPN relationship, and claims review.
  • Other duties as assigned.
  • Comply with all Company policies and procedures as applicable.

Minimum Education and Experience Preferred:

  • Bachelor’s Degree preferred but not required.
  • Minimum one (1) year experience working in an administrative office environment preferred.

Licenses/Certifications:

  • Valid California driver’s license, current automobile insurance, and eligibility to drive for the Company preferred.

Knowledge, Skills and Abilities:

  • Basic knowledge of HRIS Systems and other database management systems.
  • Ability to perform in a positive, courteous, flexible and adaptive manner.
  • Able to exercise independent judgment and initiative.
  • Computer literate and experienced with computer programs such as Microsoft Office Word, Excel, PowerPoint and Outlook.
  • Must be able clearly to communicate, both orally and in writing.
  • Possess excellent organizational skills, including, but not limited to, the ability to prioritize and complete multiple tasks.

Physical Requirements:

  • See well enough (with or without corrected vision) to read fine print, hand-written materials, and a computer screen.
  • Speak and hear well enough (with or without assistive device) to converse in person and by telephone.
  • Finger, handle, feel, and reach with hands and arms, including ability to use a computer keyboard.
  • Have the mobility (with or without assistive device) to stand, sit, crouch, and move from one work area to another.
  • Have the strength to lift, carry or push office equipment and supplies used in normal job functions up to 20 lbs.
  • Stamina to effectively perform work activities.
