Job Summary:
The HR Officer provides administrative and operational support to the HR team, ensuring the smooth execution of HR processes and compliance with ZSC policies.
Areas of Responsibilities:
Onboarding & Exit Management

Manage end-to-end onboarding and offboarding processes

Coordinate IT equipment requests and ID/badge access for new hires.

Ensure timely creation and maintenance of electronic personnel files.

Prepare and coordinate the first-week induction plan in collaboration with department heads.

Maintain consistent communication with new joiners to provide timely updates and support.

Facilitate visa applications as needed.

Conduct employee orientation sessions.

Coordinate exit interviews and manage the clearance process for departing employees.
Employee Relations
-
Respond to routine employee inquiries regarding policies, benefits, and grievance procedures.

Assist in organizing wellness initiatives and employee support programs.

Maintain a tracker of employee complaints and support resolution within agreed SLAs.
Recruitment Support

Lead full-cycle recruitment for non-management roles, including sourcing, phone screening, and scheduling interviews with relevant departments.

Attend final interviews alongside hiring managers.

Ensure interview assessments are completed and appropriately documented.

Maintain a recruitment tracker and database of shortlisted candidates for future talent pooling.
Training and Development

Assist in organizing and coordinating training sessions by scheduling, communicating with employees and training vendors, and tracking attendance to support employee skill development.

Ensure training tracker is regularly updated
PRO Support

Provide coverage for PRO functions during periods of absence or leave.

Assist in ensuring accurate reporting, data tracking, and up-to-date recordkeeping related to PRO activities.
Staff Engagement

Collaborate with the HR Manager to plan and execute staff engagement activities, including logistics and event coordination.
Administrative Support & Reporting

Maintain accurate and up-to-date digital employee records.

Assist in the preparation of onboarding and employment letters.

Support the team with HR-related reporting and ad-hoc administrative tasks.
Qualifications and Requirement:

Bachelor’s degree in human resources, Business Administration, or a related field.

At least 3-5 years of HR experience, with a focus on onboarding, employee relations, recruitment support, and payroll assistance.

Proficiency with HRIS systems and Microsoft Office.

Ability to maintain accurate records and generate HR reports.
-
Experience with structured onboarding, induction planning, and exit procedures.

Ability to interpret and communicate HR policies and labor law basics to employees
