Salary Range: $50,000–$55,000

Job Summary

The Human Resources Payroll Coordinator is responsible for managing, auditing, and maintaining accurate employee timekeeping records, while supporting the resolution of payroll discrepancies. This position requires bilingual fluency in English and Spanish to ensure effective communication with employees and managers across multiple locations.

The ideal candidate will have hands-on experience with ADP Workforce Now (WFN), strong attention to detail, and excellent customer service skills. Additionally, this role contributes to employee engagement by helping coordinate work anniversaries, appreciation events, and recognition programs.

Key Responsibilities

  • Maintain organized filing of documents and invoices
  • Process weekly bills and invoices
  • Assist with implementation and daily use of ADP WFN Time & Attendance module
  • Maintain and audit employee timekeeping data
  • Act as the primary point of contact for timekeeping-related inquiries (English & Spanish)
  • Train employees and supervisors on time entry, corrections, and procedures
  • Resolve issues such as missed punches, attendance discrepancies, and missing hours
  • Maintain payroll records, tax withholdings, and pay-related data
  • Support bi-weekly and semi-monthly payroll processing
  • Process employee changes, including transfers, promotions, and demotions
  • Ensure compliance with federal, state, and local labor laws (FLSA, wage & hour)
  • Uphold confidentiality and security of sensitive HR data
  • Provide ongoing training for new users in ADP and create SOPs for managers
  • Audit and resolve payroll issues, including direct deposit rejections
  • Assist with employee recognition and appreciation programs
  • Process employee verification and unemployment documentation
  • Track and manage company-issued equipment (cell phones, laptops, uniforms, chargers, etc.)
  • Monitor and process employee reimbursements

Required Skills & Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  • Bilingual – Fluent in English and Spanish (verbal and written)
  • Minimum 2 years of experience in timekeeping, payroll, or HR operations
  • Proficient in ADP Workforce Now (WFN) – Required
  • Strong skills in Microsoft Excel and other reporting tools
  • Excellent organizational, problem-solving, and analytical skills
  • Effective communication across a diverse employee base
  • Knowledge of labor law, payroll regulations, and HR compliance
  • Strong attention to detail with a high level of data accuracy
  • Ability to manage deadlines and prioritize tasks in a fast-paced environment
  • Professional demeanor with a collaborative, team-first attitude
