Human Resources Specialist

Position Overview: The Human Resources Specialist plays a primary role in facilitating
recruitment, onboarding, and communication. This position ensures coordination across
departments, and supports delivery of a structured, efficient, and supportive employee
experience. As a key member of the HR team, the Human Resources Specialist supports
day-to-day functions as required, while enhancing efficiency, professionalism, and
collaboration with all stakeholders.

Primary Responsibilities:

  • Recruitment & Onboarding
  • Coordinate full-cycle recruitment (job descriptions, postings with recruitment
partners, onboarding), update school profile on recruitment platforms, respond
to candidate inquiries, and manage onboarding, orientation, and off-boarding.
  • Plan and support recruitment events, including logistics, communication,
scheduling, and coordination.
  • Substitute Program Management & Recruitment Support: Coordinate
recruitment, hiring, onboarding, orientation, and document tracking for
substitute teachers and substitute instructional assistants.

  • Documentation & Systems Management
  • Facilitate and communicate employee compliance requirements and
documents.
  • Manage child protection requirements for employees and substitutes, tracking
document returns and completion.
  • Manage Human Resources Google Workspace, email communication,
documents, and tracking systems.

  • Communication, Engagement & Resources
  • Liaise effectively across divisional and departmental teams.
Communicate HR processes, information, upcoming timelines, key dates, and
reminders to ensure alignment and efficiency.
  • Develop and maintain up to date HR resources (e.g. substitute, relocation,
departure, and recruitment materials), in collaboration with stakeholders, to
ensure accurate and accessible information.
  • Provide employee related data and information as requested for stakeholder
reports.
  • Facilitate job description development and updates with relevant stakeholders.
  • Clearly communicate processes, key timelines, reminders, and initiatives to
employee groups.
  • Coordinate HR Outreach, including scheduling and messaging.

Other HR Responsibilities
  • Coordinate virtual pre-orientation events including scheduling, communication,
agenda coordination, and follow-ups.
  • Support employee orientation scheduling, planning, and events.
  • Coordinate departing employee resources, including organizing meetings,

supporting the completion of required procedures.
  • Support document attestation and authentication processes.
  • Take on other duties as assigned by the immediate supervisor.

Required Qualifications:
  • Bachelor's degree or equivalent from a recognized and accredited university, in a
related field.
  • A minimum of two years, current, full-time related experience.
  • Experience and proficiency in Google Workspace
  • Familiarity with UAE labor laws and KHDA requirements.
  • Experience working with HR systems (e.g., Odoo or similar platforms).

Preferred Qualifications:
  • Experience working in an international/overseas school setting

Terms of Employment:
This position is a year round role, classified as a sponsored support staff position and reports
to the Director of Human Resources. General working hours are from 7:45 am - 3:45 pm,
Monday through Thursday and 7:45 am - 12:45 pm (on site) & 2:30 pm - 3:45 pm
(remote/flexible) on Fridays. In some cases, flexibility with work hours is requested to meet
the needs of the role.

Friday is considered as a full working day for employees and the school reserves the right to
schedule afternoon meetings and/or events where the employee’s presence is required.
Employees should plan to be available and ready to respond to work-related requests on
Friday afternoons unless an approved leave of absence has been applied for and approved
through the usual and customary leave request process in advance. Any absence on a
Friday will be considered a full-day absence.
