HVAC Dispatcher

Barrett Airworks, a division of El Paso JAG, Inc., is seeking an experienced HVAC Dispatcher / Service Coordinator to join our team.

This position plays a critical role in supporting our HVAC operations by coordinating service technicians, managing customer communications, preparing proposals, processing invoices, and assisting with collections. The ideal candidate is highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

Dispatching & Scheduling

  • Schedule and dispatch HVAC technicians for service calls, maintenance agreements, and emergency requests.
  • Monitor technician schedules and adjust assignments as needed.
  • Communicate with customers regarding appointment times and service updates.
  • Coordinate with field personnel to ensure timely completion of work orders.

Proposals & Customer Service

  • Prepare and submit service proposals and estimates to customers.
  • Follow up on outstanding proposals and customer inquiries.
  • Maintain positive customer relationships and provide exceptional customer service.
  • Coordinate service agreements and maintenance contract renewals.

Invoicing & Collections

  • Generate and process customer invoices accurately and timely.
  • Verify completed work orders prior to invoicing.
  • Follow up on outstanding accounts receivable balances.
  • Contact customers regarding past-due invoices and assist with collections efforts.
  • Work closely with the accounting department to resolve billing discrepancies.

Administrative Support

  • Maintain accurate records of work orders, proposals, contracts, and customer communications.
  • Enter and update information in company software systems.
  • Assist management with reports and operational tracking.
  • Perform other administrative duties as assigned.

Qualifications

  • Minimum 2 years of HVAC dispatching, service coordination, office administration, or related experience.
  • Experience preparing proposals and estimates preferred.
  • Experience with invoicing and collections required.
  • Strong customer service and communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word.
  • Experience with service management, dispatching, or accounting software is preferred.
  • Strong organizational skills and attention to detail.

  • Full-Time
