What Does a Maintenance Coordinator Do?

A Maintenance Coordinator is the engine behind our maintenance department. You are responsible for keeping everything running smoothly by:

• Scheduling and coordinating maintenance appointments
• Managing technician routes and daily workload
• Communicating with customers and ensuring a great experience
• Following up after service to ensure satisfaction
• Keeping customer records organized and up to date

You play a critical role in both customer satisfaction and team efficiency, making sure our technicians stay productive and our customers stay happy.

Position Overview

As an HVAC Maintenance Coordinator, you will play a critical role in keeping our maintenance department running smoothly.

You will be responsible for scheduling, coordinating, and supporting maintenance operations, while delivering an outstanding customer experience.

Key Responsibilities

• Answer incoming calls and assist customers professionally
• Gather customer information and schedule maintenance appointments
• Optimize maintenance technician schedules and routes to reduce drive time
• Assign the correct technician based on job requirements
• Confirm upcoming maintenance appointments
• Conduct follow-up “happy calls” to ensure customer satisfaction
• Handle customer concerns and resolve issues professionally
• Input and update customer information in dispatching software
• Manage maintenance agreements and membership updates
• Call customers when maintenance is due and schedule appointments
• Communicate with technicians to ensure timely arrivals
• Order parts and coordinate job needs
• Perform basic administrative and clerical tasks

Qualifications

• Positive attitude and strong work ethic
• Highly organized and detail-oriented
• Strong communication and customer service skills
• Ability to multitask in a fast-paced environment
• Basic computer skills (Apple/Mac familiarity preferred)
• Ability to quickly learn dispatching software
• Team-oriented with strong problem-solving skills

Requirements:

• Clean background (no criminal history)
• Must pass drug screening

HVAC or scheduling experience is preferred but not required. We will train the right candidate.

Pay: $41,600.00 - $70,000.00 per year
