We are seeking a dynamic and highly organized HVAC/Electrical Office Dispatcher to lead our administrative operations within the HVAC and electrical services division. This role is essential in ensuring smooth office functions, managing vendor relationships, overseeing project schedules, and supporting team management efforts. Permits, paperwork, warranties. The ideal candidate will bring energetic leadership, exceptional communication skills, and a proactive approach to office management. You will be the backbone of our administrative team, ensuring efficiency, accuracy, and professionalism in all daily activities. Responsibilities

  • Oversee daily office operations, including clerical tasks such as filing, bookkeeping, and front desk management
  • Manage scheduling for technicians, project timelines, and client appointments with precision and flexibility
  • Coordinate vendor relationships, including procurement of supplies and service agreements for HVAC and electrical projects
  • Handle human resources functions such as onboarding new staff, training & development initiatives, and maintaining employee records
  • Utilize QuickBooks for payroll processing, invoicing, expense tracking, and budget management to ensure financial accuracy
  • Supervise administrative staff and support team management efforts to foster a productive work environment
  • Maintain professional communication with clients, vendors, and internal teams via multi-line phone systems and email correspondence
  • Organize company events or client meetings through event planning skills while managing calendar schedules efficiently

Qualifications

  • Proven experience in office management within the HVAC or electrical industry is highly preferred
  • Strong supervisory experience with demonstrated leadership capabilities
  • Proficiency in QuickBooks accounting software for bookkeeping and payroll functions
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously
  • Effective communication skills with professional phone etiquette and customer service orientation
  • Experience with schedule management tools and vendor management processes
  • Background in human resources or medical office management is a plus but not required
  • Knowledge of budgeting practices, filing systems, and clerical procedures necessary for smooth office operations
