HVAC/Electrical/Plumbing Dispatcher/Admin

Job Summary
We are seeking a dynamic and detail-oriented HVAC, Electrical and Plumbing Dispatcher/Admin to join our team!

This role is the hub of our day-to-day operations. You’ll be responsible for scheduling, dispatching, and keeping communication flowing between our office, technicians, and customers. If you’re someone who thrives in a fast-paced environment, stays on top of details, and communicates clearly, you’ll do really well here.

Responsibilities

• Dispatch and schedule technicians daily using ServiceTitan to maximize efficiency and route optimization
• Manage incoming calls, texts, and service requests, ensuring jobs are scheduled quickly and accurately
• Coordinate with technicians in the field to adjust schedules, provide updates, and keep jobs moving
• Communicate with customers regarding appointment times, updates, and follow-ups in a professional and friendly manner
• Create and manage jobs, estimates, and invoices within ServiceTitan
• Obtain permits with appropriate municipalities.
• Order and track materials, coordinate deliveries, and ensure crews have what they need for each job
• Support light project coordination for installs and larger jobs (HVAC, electrical, plumbing)
• Maintain accurate records, job notes, and internal communication for smooth handoffs between teams
• Assist with basic fleet coordination (vehicle scheduling, maintenance reminders, etc.)

What We’re Looking For

• Experience in dispatching or coordinating in HVAC, construction, or service-based industries (preferred)
• Comfortable using software systems like ServiceTitan or similar CRM/dispatch platforms
• Strong communication skills — both over the phone and in writing
• Ability to multitask and stay organized in a fast-paced environment
• Detail-oriented and able to keep track of multiple jobs at once
• Problem-solver mindset — able to adjust schedules and think quickly when things change
• Positive attitude and team player

Pay: $25.00 - $30.71 per hour
