About Us

We are a leading food production and trading company with operations in the UK and EU, and a regional office in Dubai. Our business focuses on the sourcing, processing, and distribution of high-quality food products globally. To support our continued growth, we are looking for a motivated and organized Import & Administration Executive to join our Dubai office.

Role Overview

The Import & Administration Executive will play a key role in managing our import logistics and ensuring smooth coordination between suppliers, shipping agents, and internal teams. This role involves handling container shipments, documentation, scheduling, and payment coordination. Additionally, the successful candidate will assist the management and purchasing teams with general administrative and operational support.

Key Responsibilities

  • Coordinate import shipments from various origins, ensuring on-time delivery and proper documentation.
  • Communicate with suppliers, freight forwarders, and clearance agents regarding shipment status and requirements.
  • Prepare, review, and manage import documentation (invoices, packing lists, BLs, health certificates, etc.).
  • Track shipments and maintain up-to-date records in internal systems.
  • Assist with payment coordination, invoice verification, and follow-up with finance.
  • Support management with administrative duties such as correspondence, filing, meeting coordination, and reporting.
  • Provide operational support to the purchasing team, including supplier follow-up and data entry.
  • Ensure compliance with import regulations and company procedures.

Skills

Requirement qualifications

  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong communication skills in English (written and verbal).
  • Ability to work independently and manage multiple priorities.
  • Ability to maintain professionalism and confidentially at all times
  • Ability to establish and develop relationships with internal and external stakeholders
  • Ability to be flexible and open to changes.
  • At least 5 years experience in an administrative position

Preferred qualifications

  • Strong knowledge of shipping documentation, Incoterms, and international trade processes.
  • 2–4 years of relevant experience in import/export or logistics (preferably within the food or FMCG sector).

Other:

· Standard hours from 10am to 7pm

Job Type: Full-time

Pay: Up to AED15,000.00 per month
