Job Summary:
The Inside Sales and Purchasing Support role is responsible for providing administrative and operational support to the sales and purchasing departments. This individual will assist with customer orders, supplier communications, inventory coordination, and order fulfillment to ensure a smooth and efficient workflow. This role requires a strong customer service mindset, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
Inside Sales Support
- Respond to customer inquiries via phone and email in a timely and professional manner.
- Generate and process sales quotes, purchase orders, and invoices.
- Maintain accurate records of customer orders and delivery schedules.
- Support the sales team with product availability checks, lead times, and pricing.
- Coordinate with warehouse and logistics teams to ensure timely order fulfillment.
- Follow up with customers on order status, deliveries, and after-sales service.
- Maintain and update customer information in Quick Books.
Purchasing Support
- Assist with sourcing and purchasing materials, parts, or products as needed.
- Monitor inventory levels and notify the team when replenishment is required.
- Issue and track purchase orders with vendors and suppliers.
- Confirm order acknowledgments, shipping dates, and lead times from vendors.
- Maintain strong relationships with key suppliers to ensure competitive pricing and timely delivery.
- Support the resolution of issues related to delayed shipments, backorders, or quality concerns.
Administrative Tasks
- Prepare reports, spreadsheets, and data analysis for management as needed.
- File and organize sales and purchasing documentation.
- Assist with other administrative tasks and cross-functional projects as required.

Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 10+ years of experience in inside sales, purchasing, or administrative support roles.
- Strong communication and customer service skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience QuickBooks is a plus.
- Detail-oriented with strong organizational and time management skills.
- Ability to prioritize tasks and meet deadlines in a dynamic environment.
