Job Description

Position Title : Invoicing & Quality Control Officer

Department : Operations / Finance / Production
Reporting To : Gold Control Manager / General Manager
Location : Dubai, United Arab Emirates
Industry : Gold & Precious Metals Manufacturing & Trading

Job Summary:
We are seeking an experienced Invoicing & Quality Control Officer to manage accurate invoicing, quality verification, and compliance documentation for gold and precious metals manufacturing operations. The role ensures correctness of weight, purity, pricing, VAT compliance, and regulatory adherence before dispatch.

Key Responsibilities

1. Invoicing & Commercial Documentation

  • Prepare, verify, and issue sales invoices, tax invoices, delivery notes, pro-forma invoices, and credit notes for gold, silver, platinum, and other precious metals jewellery products.
  • Ensure invoices reflect accurate metal weight, purity (fineness), wastage, making charges, premiums, discounts, and applicable VAT as per UAE regulations.
  • Verify pricing against approved daily gold rates, internal pricing sheets, and customer contracts.
  • Coordinate with Sales, Production, and Accounts to ensure all invoices match production output and dispatch details and management guidelines.
  • Maintain strict control over invoice numbering, amendments, cancellations, and approvals in line with internal audit standards and company’s policy.
  • Ensure timely issuance of invoices to avoid revenue leakage, compliance risk, or customer disputes.

2. Quality Control & Product Verification

  • Conduct physical and documentary verification of finished goods before invoicing and dispatch.
  • Verify weight, purity, karat, fineness markings, serial numbers, and bar/jewelry specifications against production records.
  • Ensure products meet internal quality standards, customer specifications, and regulatory requirements.
  • Coordinate with Assay, Refinery, and Production teams to resolve any quality discrepancies or rework requirements.
  • Maintain records of quality checks, deviations, corrective actions, and approvals.
  • Support internal and external quality audits, inspections, and customer audits.

3. Inventory & Metal Movement Control

  • Monitor and reconcile raw material issuance, work-in-progress (WIP), finished goods, and scrap/wastage.
  • Ensure all metal movements are supported by proper documentation, approvals, and system entries.
  • Assist in daily, monthly, and surprise physical stock counts of precious metals with Accounts dept.
  • Reconcile physical stock with system balances and investigate variances.
  • Ensure secure handling and documentation of high-value materials in compliance with internal control policies.

4. Regulatory & Compliance Responsibilities

  • Ensure invoicing and documentation comply with UAE VAT Law & FTA requirements, DMCC / Dubai Gold Division (DGD) guidelines and Anti-Money Laundering (AML), KYC requirements and company’s policy.
  • Maintain complete audit trails for: Metal sourcing, Production & Sales and dispatch
  • Assist in VAT audits, internal audits, external audits, and regulatory inspections.
  • Ensure proper classification of standard-rated, zero-rated, or exempt supplies, where applicable.

5. Coordination & Reporting

  • Liaise with Production, Sales, Accounts, Logistics, and Compliance teams to ensure smooth operational flow.
  • Prepare and submit daily and monthly reports, including: Invoicing summary, Production vs. sales reconciliation, Quality deviation reports, Stock movement reports
  • Escalate any irregularities, mismatches, or compliance risks to management immediately.

6. Documentation & Record Management

  • Maintain systematic filing of: Invoices, Quality certificates, Assay reports, Delivery notes, Regulatory and audit documents
  • Ensure records are accurate, complete, retrievable, and securely stored as per company policy and UAE legal requirements.
  • Support ERP / accounting system entries and data integrity.

Ø Authority & Accountability

  • Authorized to verify and approve invoices within assigned limits; as set by the Management.
  • Responsible for accuracy of invoicing, quality validation, and compliance documentation.
  • Accountable for preventing financial loss, regulatory penalties, quality disputes, wrong supply, rejection and or any wrong doings by-law.

Ø Expected Qualifications & Experience:

  • Bachelor’s degree in Commerce, Accounting, Finance, Business Administration, or related field. Additional certifications in VAT, Quality Control, or Supply Chain are an advantage.
  • 3–7 years of relevant experience in: Gold & precious metals manufacturing, Refinery, Jewelry production and or Bullion trading environment.
  • Hands-on experience with precious metal invoicing, quality checks, and inventory control in the UAE is mandatory.
  • Strong knowledge of gold purity standards (999.9, 995, 916, etc.), Weight conversions and wastage calculations, UAE VAT treatment for precious metals
  • Proficiency in ERP systems, accounting software, and MS Excel.
  • High attention to detail and numerical accuracy.

Confidentiality & Compliance Clause: The employee must maintain absolute confidentiality regarding company data, pricing, sourcing, customers, and metal movements. Any breach will be subject to disciplinary action as per UAE Labour Law and company policies.

Job Type: Full-time

Pay: AED2,500.00 - AED3,000.00 per month
