Overview
Southwest Law Firm is seeking a a skilled and detail- oriented Invoicing Specialist to join our growing Invoicing team. This role is ideal for someone with strong analytical abilities, excellent communication skills who enjoys working with numbers and clients in a collaborative, fast-paced environment.

Position Summary

The Invoicing Specialist will support the firm’s billing and accounts receivable operations by preparing invoices, recording payments, and assisting clients with billing inquiries. Reporting to the Invoicing Supervisor, this role ensures accuracy and timeliness in all invoicing processes while maintaining a high level of professionalism and customer service. The ideal candidate is detail-oriented, reliable, and comfortable working both independently and as part of a team.

Key Responsibilities

  • Prepare and send client invoices according to established billing schedules and guidelines
  • Record and reconcile client payments in the accounting system
  • Track outstanding balances and provide initial follow-up on overdue accounts (phone/email)
  • Assist with investigating and resolving routine billing discrepancies
  • Maintain accurate and organized billing records and files
  • Generate basic billing and aging reports for review by the Invoicing Supervisor
  • Provide courteous and timely responses to client billing inquiries
  • Support the Invoicing Supervisor and broader finance team with special projects or reporting needs
  • Perform ongoing collections duties
  • Communicate with customers and internal staff for invoice dispute resolution
  • Other duties as assigned

Qualifications

  • 1–2 years of experience in billing, accounts receivable, or general accounting (professional services or legal setting preferred)
  • Strong attention to detail and organizational skills
  • Excellent communication and interpersonal skills, both verbal and written
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency in Microsoft Office (Excel, Outlook) and familiarity with billing or accounting software
  • Customer service–focused approach with the ability to remain professional under pressure
  • Strong problem-solving skills and ability to identify and resolve discrepancies
  • Excellent communication skills, both written and verbal, to effectively convey information.
  • Detail-oriented with strong organizational skills to manage multiple tasks simultaneously.
  • Ability to work collaboratively within a team environment while also being self-motivated.
  • Problem-solving mindset with a proactive approach to identifying challenges and implementing solutions.
