Role Summary
We are looking for a proactive and organized Project Coordinator to support smooth communication between clients and the internal development team. The ideal candidate will manage project updates, schedule and coordinate meetings, maintain ClickUp/Trello boards, and ensure timely communication throughout the project lifecycle.
This role is perfect for someone who is detail-oriented, enjoys structured work, communicates clearly, and can manage multiple tasks while working closely with cross-functional teams.
Key Responsibilities
1. Client Communication & Coordination
- Serve as the primary coordination channel between clients and internal teams.
- Share updates with clients based on development progress.
- Answer general client queries in a timely and professional manner.
- Collect client feedback and route it to the relevant internal team members.
- Ensure clients receive project updates at appropriate stages (daily or as required).
2. Internal Team Coordination
- Gather updates from the development team and consolidate them into clear client-ready summaries.
- Coordinate follow-ups with the team for pending items, clarifications, or blockers.
- Ensure developers receive meeting details, updates, and next steps with proper clarity.
- Escalate concerns to management when team feedback is delayed or when timelines are at risk.
3. Meeting Management
- Schedule client and internal meetings through Google Calendar.
- Create meeting invites and share links with clients and the internal team.
- Confirm team availability and attendance before meetings.
- Send meeting reminders based on client time zones or meeting schedules.
- Take structured notes during meetings and share summaries with the team.
4. Project Management Boards (ClickUp & Trello)
- Create task cards for new requirements or updates.
- Maintain ClickUp/Trello boards with accurate statuses, deadlines, and task details.
- Add relevant project materials such as requirement documents, Figma links, and meeting notes.
- Move tasks to the appropriate status based on project progress.
- Ensure all boards reflect real-time task activity so management and team members remain aligned.
5. General Project Coordination Tasks
- Organize and maintain project documentation.
- Conduct follow-ups with clients for pending approvals, clarifications, or required assets.
- Share delivery files or updates through the sales team if clients are on platforms like Fiverr.
- Assist in ensuring milestones, deadlines, and commitments are clearly communicated and tracked.
- Maintain clear communication logs and ensure important information is never missed.

Experience & Qualifications
- 0–2 years of experience in project coordination, client communication, or operations
- Bachelor’s degree in Business, IT, Management, or a related field (preferred)
- Prior experience with task management tools is a plus but not mandatory
- Training will be provided where necessary
