Law Firm Front Desk Receptionist

This position is responsible for managing the front desk, answering and routing incoming calls, greeting clients, assisting with new client intake, and providing general administrative support to attorneys and staff.

The ideal candidate is highly organized, professional, and able to manage multiple tasks in a fast-paced legal environment.

Key Responsibilities

Front Desk & Client Service

  • Greet clients, vendors, and visitors in a professional and welcoming manner
  • Answer and route incoming phone calls promptly and professionally
  • Schedule consultations and appointments for attorneys and staff
  • Maintain a clean, organized, and professional reception area
  • Provide general information to clients and direct inquiries to appropriate staff

Call Handling & Intake Support

  • Answer high volumes of incoming calls and screen appropriately
  • Collect basic information from potential new clients and route to intake staff or attorneys
  • Transfer calls accurately and take detailed messages when necessary
  • Assist with initial client intake forms and documentation when needed

Administrative Support

  • Manage incoming /outgoing mail and deliveries
  • Scan, copy, and file documents as needed
  • Assist with scheduling conference rooms and client meetings
  • Maintain office supply inventory and coordinate orders when needed
  • Support attorneys and staff with general clerical tasks

Office Coordination

  • Ensure reception area remains professional and client-ready at all times
  • Assist with client check-in and document signing
  • Coordinate with case managers or legal assistants when clients arrive
  • Maintain confidentiality of all client and firm information

Qualifications

  • Fluency in both English and Spanish (spoken and written) is required
  • Prior receptionist, administrative assistant, or customer service experience preferred
  • Experience in a law firm or professional office environment is a plus
  • Strong verbal and written communication skills
  • Excellent phone etiquette and interpersonal skills
  • Strong organizational and multitasking abilities
  • Ability to maintain professionalism and confidentiality at all times

Technical Skills

  • Microsoft Office (Outlook, Word, Excel)
  • Case management software experience preferred (e.g., CASEpeer or similar)
  • Ability to operate office equipment including scanners, copiers, and multi-line phone systems

Pay: $19.00 - $23.00 per hour
