Lead Business Analyst

Project Lead/ Business Analyst – SharePoint Migration

Purpose: Day-to-day delivery execution and coordination.

Role Summary
  • The SharePoint Migration Business Analyst (BA) / Lead serves as the primary bridge between business stakeholders and the migration delivery teams, ensuring business requirements, content usage patterns, compliance needs, and user expectations are fully understood and translated into actionable migration, archival, and modernization requirements.
  • This role leads discovery, requirement definition, site readiness assessments, UAT coordination, and business sign-off across multiple migration waves, while driving adoption readiness and change management alignment.

Key Responsibilities

1. Business Discovery & Stakeholder Engagement
  • Lead structured discovery sessions with:
    • Business site owners
    • Department leads
    • Records management and compliance teams
  • Understand how SharePoint is used across:
    • Collaboration
    • Document management
    • Business workflows and forms
  • Identify business-critical sites, applications, and dependencies.
  • Act as the primary business-facing lead throughout the migration lifecycle.

2. Requirements & Site Assessment Leadership
  • Lead and document:
    • Functional and non-functional requirements
    • Business usage patterns and pain points
  • Conduct site readiness assessments, including:
    • Content volume and growth trends
    • Customizations and workflows
    • Permission and external sharing models
  • Classify sites into:
    • Migrate as-is
    • Migrate with remediation
    • Archive / retire
  • Maintain the master migration inventory and prioritization list.

3. Archival & Data Governance Alignment
  • Partner with:
    • Legal
    • Records management
    • Compliance teams
  • Define and document:
    • Archival criteria
    • Retention requirements
    • Legal hold considerations
  • Support business decisions on:
    • What data migrates vs archives
    • What data is administratively retired
  • Ensure archival decisions are documented, approved, and auditable.

4. Migration Wave Planning Support
  • Support wave-based migration planning by:
    • Aligning business readiness with technical schedules
    • Coordinating freeze windows and blackout periods
  • Ensure business stakeholders understand:
    • Cutover approach
    • Validation responsibilities
    • Hypercare expectations
  • Identify risks related to business timing and dependencies early.

5. UAT & Business Validation Leadership
  • Define and manage User Acceptance Testing (UAT) processes.
  • Create:
    • UAT test scenarios
    • Validation checklists
    • Business sign-off templates
  • Coordinate UAT execution with:
    • Site owners
    • Power users
  • Track and manage:
    • Defects
    • Enhancement requests
    • Go/no-go decisions

6. Change Management & Adoption Readiness
  • Work with Adoption and Training teams to:
    • Identify impacted user groups
    • Define role-based training needs
  • Support communication plans for:
    • Migration timelines
    • User impacts
    • Post-migration changes
  • Capture feedback during hypercare and feed into continuous improvement.

7. Risk, Issue & Dependency Management
  • Identify and document:
    • Business risks
    • Data sensitivity concerns
    • Timing constraints
  • Maintain:
    • RAID logs
    • Decision logs
  • Escalate risks early with clear business impact statements.

8. Documentation & Governance
  • Produce and maintain:
    • Business requirement documents (BRDs)
    • Functional specifications
    • Site assessment summaries
    • Migration decision records
  • Ensure documentation supports:
    • Audit readiness
    • Compliance validation
    • Long-term platform governance

Required Skills & Experience

Business Analysis & Leadership
  • 7–12+ years of experience as a Business Analyst or Business Lead in enterprise IT programs.
  • Proven experience leading SharePoint or Microsoft 365 transformation initiatives.
  • Strong facilitation skills for executive and operational stakeholders.

SharePoint & Microsoft 365 Knowledge
  • Solid functional understanding of:
    • SharePoint on-prem and SharePoint Online
    • Document management concepts
    • Permissions and access models
  • Awareness of:
    • SharePoint customizations and workflows
    • Power Platform capabilities and limitations

Archival, Records & Compliance
  • Experience working with:
    • Records management teams
    • Retention schedules
    • Legal hold processes
  • Familiarity with compliance considerations in regulated environments (e.g., healthcare, finance).

UAT & Delivery Methodologies
  • Strong experience in:
    • UAT planning and execution
    • Agile and hybrid delivery models
    • Wave-based migration approaches
  • Comfortable working in fast-paced, multi-stream programs.

Soft Skills & Behavioral Competencies
  • Exceptional communication and documentation skills.
  • Ability to translate business needs into technical requirements.
  • Strong organizational and prioritization abilities.
  • Comfortable managing ambiguity and driving decisions.

Preferred Qualifications
  • Experience in healthcare or other regulated industries.
  • Certifications:
    • CBAP
    • PMI-PBA
    • Prosci (Change Management)
  • Experience working in large MSP or SI-led delivery models.
