Job Purpose:
The Leasing Coordinator is responsible for supporting the day-to-day leasing operations of Gargash Real Estate’s residential and commercial portfolio. The job ensures the efficient management of lease documentation, renewals, tenant communication, Ejari compliance, and database accuracy. The Leasing Coordinator serves as the primary administrative link between tenants, property management, and internal departments to ensure smooth leasing operations that uphold compliance with UAE Tenancy Law and RERA regulations.
Respobsibilities:
Lease Administration & Documentation
•Prepare, review, and process all tenancy contracts, renewals, and addenda in accordance with company policy and RERA guidelines.
•Ensure all lease agreements and supporting documents (trade license, POA, title deed, Emirates ID, passport copies, etc.) are validated prior to execution.
•Maintain an organised digital and physical filing system for all leasing documents to ensure traceability and audit readiness.
•Draft and issue lease amendments, renewal notices, and termination letters while ensuring contractual accuracy and compliance.
Tenancy Management & Coordination
•Monitor and track contract expiries, rent renewals, and tenancy milestones to ensure timely renewals and avoid contract lapses.
•Coordinate lease registrations, cancellations, and renewals through Ejari and Dubai Land Department platforms.
•Support the handover and takeover process for new tenants, ensuring units are ready and all documentation is complete.
•Liaise with maintenance, facility management, and accounts teams to ensure tenant readiness, issue resolution, and a seamless occupancy experience.
Compliance & Reporting
•Ensure all lease processes adhere to UAE tenancy law, RERA regulations, and internal governance standards.
•Maintain up-to-date records and trackers for lease renewals, security deposits, rent payments, and outstanding balances.
•Coordinate with the Finance Department for timely rent collection, posting, and reconciliation of payments.
•Prepare and maintain leasing reports including occupancy summaries, lease expiries, renewals pipeline, and vacancy updates.
•Assist in internal and external audits by providing accurate and complete leasing documentation and data.
Stakeholder Engagement
•Serve as the key point of contact for tenants, brokers, and service providers for leasing documentation, contract queries, and renewals.
•Liaise with government entities such as Dubai Land Department, RERA, and other regulatory bodies to complete required processes and maintain compliance.
•Support the Leasing Manager in coordinating with agents, landlords, and internal stakeholders for property sourcing, marketing, and tenant placement.
Administrative & Operational Support
•Maintain leasing databases and dashboards with updated tenant and property information.
•Prepare correspondence, letters, and notices related to lease matters and ensure timely delivery.
•Assist in compiling market research and competitor rent benchmarking when required.
•Provide general administrative assistance to the Leasing Manager and contribute to process improvement initiatives to enhance operational efficiency.
General Accountabilities
•Uphold company values throughout business practices and utilise sound judgment in decision making.
•Any other additional duties as may be required by management based on needs of the business.
Requirements:
•A minimum 1-3 years of experience in lease administration, real estate coordination, or property management (landlord-side experience preferred).
• Bachelor’s degree in Business Administration, Real Estate, Law, or a related field.
