Good day, we are looking for a highly organized and proactive female Executive Secretary to provide administrative and executive-level support to senior management. The ideal candidate will handle confidential information, manage schedules, prepare reports, and ensure smooth daily operations within the office.
Responsibilities
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments efficiently
- Prepare, organize, and maintain executive-level documents, reports, presentations, and correspondence
- Handle confidential information with discretion and maintain secure filing systems
- Coordinate internal and external communication on behalf of the CEO
- Screen calls, emails, and inquiries; prioritize and respond on behalf of the CEO when appropriate
- Arrange travel itineraries, hotel bookings, transportation, and meeting logistics
- Prepare meeting agendas, take minutes, and track follow-up actions
- Coordinate with department heads, clients, suppliers, and external partners as required
- Assist in project tracking, deadlines, and administrative follow-ups
- Ensure the CEO is well-prepared for all meetings, presentations, and official activities
- Draft letters, memos, and formal business communications in professional formats
- Organize and support company events, board meetings, and executive activities
- Manage document circulation, approvals, and signature workflows
- Maintain office supplies and ensure the CEO’s office environment is organized and presentable
- Track important dates, deadlines, and deliverables for the CEO
- Prepare expense reports and manage reimbursement submissions
- Conduct basic research, compile data, and prepare summaries when required
- Maintain a high level of professionalism, confidentiality, and reliability
- Represent the CEO in a polished and professional manner at all times
- Demonstrate initiative by anticipating the CEO’s needs and proactively addressing requirements
Qualifications
- 3–5 years of experience as an Executive Secretary / Executive Assistant supporting senior leadership or C-level executives
- Exceptional communication skills (written and verbal) with strong professional etiquette
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and document management
- Strong organizational skills with the ability to prioritize, multitask, and manage tight schedules
- High level of discretion, confidentiality, and integrity when handling sensitive information
- Strong calendar management, meeting coordination, and travel arrangement skills
- Ability to draft reports, letters, presentations, and executive documents
- Excellent time-management and ability to work under pressure
- Professional appearance, strong interpersonal skills, and client-facing confidence
- Experience working directly with CEOs, Managing Directors, or Board-level executives
- Knowledge of corporate protocols, executive communication styles, and business correspondence
- Strong problem-solving ability and initiative in anticipating the CEO’s needs
- Experience in project coordination, follow-ups, and cross-department communication
- Ability to handle office protocols, vendor coordination, and administrative workflows
- Multilingual abilities (advantage depending on organization needs)
- Experience in event coordination, minutes-taking, and preparing executive-level presentations
