Position Overview:

We are seeking a highly organized and detail-oriented Legal Support Specialist to join our Intellectual Property (IP) Department, providing advanced administrative, legal, and patent/trademark prosecution support to attorneys, patent agents, and legal teams. This role is vital in ensuring smooth operations across patent and trademark filing processes, client communication, and litigation documentation.

The ideal candidate will have significant experience supporting patent and IP attorneys, strong knowledge of USPTO procedures, and the ability to manage high volumes of detailed legal work independently. Flexibility to work overtime as needed is required.

Key Responsibilities:Patent & Trademark Support

  • Prepare and e-file documents with the USPTO and foreign patent offices
  • Draft and transmit standardized correspondence related to patent/trademark prosecution, including reporting letters, search reports, and invoices
  • Maintain and update foreign and U.S. patent/trademark files both physically and within electronic records systems
  • Assist in tracking docket deadlines related to patent prosecution; clear and follow up on deadlines
  • Support quality assurance processes by reviewing filings and correspondence for completeness and accuracy
  • Check and update case statuses with the USPTO and relevant foreign offices

Legal Administrative & Clerical Support

  • Provide full-spectrum legal administrative support to IP attorneys, patent agents, and timekeepers
  • Manage calendars, schedule meetings, organize complex travel arrangements, and process expense reports
  • Maintain legal files (electronic and physical), organize incoming/outgoing file transfers, and ensure proper document routing
  • Draft, format, proofread, and transcribe legal documents, reports, and client correspondence
  • Handle billing support, including time entry, invoice preparation, cover letter generation, and demand billing coordination

Litigation & Document Management

  • Assist with litigation file management, including updating litigation binders and tracking discovery documents
  • Prepare and maintain legal documents such as complaints, motions, affidavits, and subpoenas
  • Process e-filings with state and federal courts, including CM/ECF platforms
  • Assist in preparing legal documents for closings and transactions, uploading them to firm databases as required

Client & Attorney Interaction

  • Act as a liaison between attorneys, clients, opposing counsel, courts, and liaisons
  • Maintain client preferences and contact lists
  • Support client intake, conflict checks, and engagement processes
  • Generate and update client case status reports and IP schedules

Job Type: Full-time

Pay: $68,000.00 - $80,000.00 per year
