Building Services 32BJ Benefit Funds (“the Funds”) is the umbrella organization responsible for administering Health, Pension, Retirement Savings, Training, and Legal Services benefits to over 100,000 SEIU 32BJ members. Annual Salary Clarification: $67,475.12 - Per Collective Bargaining Agreement (CBA)

Additional Pay: Plus Bilingual Differential of $2,000 annually

FLSA Status: Non-Exempt (Eligible for OT per business needs)


Job Summary:

The 32BJ Legal Services Fund provides legal representation to over 100,000 eligible union members and their families in several states. We are a mission-driven, client-centered team committed to delivering high-quality, accessible legal services to our members. The Legal Assistant I, under the supervision of a Supervising Attorney and/or Staff Attorney, will communicate with members and prepare and file case documents.

Essential Duties and Responsibilities:

  • Coordinates and manages workflow to ensure efficient case processing within the department.

  • Drafts and finalizes letters, petitions, motions, and supporting legal documents.

  • Prepares and manages correspondence, forms, and records necessary for departmental operations.

  • Communicates with clients to collect information, provide updates, and ensure case readiness.

  • Prepares, organizes, and submits case-related mailings, e-filings, and online submissions.

  • Manages scheduling and appointments for attorneys, paralegals, and client meetings.

  • Maintains and updates department calendars, case tracking systems, and deadlines.

  • Provides administrative support including document management, data entry, and reporting.

  • Communicates with case parties and related agencies as needed.

  • Develops, organizes, and maintains case files in compliance with data retention standards.

  • Provides oral interpretation and written translation services.

  • Utilizes office technology and software platforms to support case management and departmental efficiency.

  • Provides cross-departmental support as needed, within skill set and capacity.

  • Trains and onboards new staff.

  • Performs additional related tasks and projects as assigned.


Qualifications (Competencies):

  • Bachelor’s Degree required.

  • Bilingual in English and Spanish (required).

  • Minimum one (1) year experience as an administrative assistant.

  • Familiarity with case management and document preparation software preferred.

  • Strong problem-solving, organizational, and time management skills.

  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Maintain a professional demeanor, appearance, and workspace in representation of the Legal Services Fund.

  • Collaborate effectively in a team-oriented, high-volume work environment.

  • Communicate professionally with clients and colleagues across all levels and functions.

Education:

Bachelor’s Degree required.


Language Skills:

Bilingual in English and Spanish required.
