We also have a proven track record of success in matters before the regulatory boards of the Virginia Department of Health Professions.

Job Summary: A legal assistant enhances client service and law firm productivity by performing administrative tasks specific to our best practice processes including: document drafting, file management, scanning and mailing, email and phone communication, calendaring and scheduling, and general attorney and paralegal support. A legal assistant at Byrne Canaan has a positive, professional demeanor with strong client service orientation; ability to create a welcoming office atmosphere and work collaboratively with attorneys, paralegals, and clients. The position is full time, with office hours generally 8:30 am – 5 pm.

Job Duties & Responsibilities:

Primary Legal Support

  • Transcribing, editing, proofreading, and drafting legal documents and correspondence
  • Drafting documents and letters from templates, customized to each matter
  • Processing all incoming documents (mail and email) into the firm's paperless system
  • Maintaining strict HIPAA compliance, attorney-client privilege, and confidentiality protocols
  • Coordinating depositions, hearings, court appearances, and travel arrangements including all logistics, correspondence, and calendaring

Calendar and Communication Management

  • Managing attorney schedules via shared calendars
  • Scheduling client meetings and appointments with full coordination of logistics
  • Handling attorney correspondence and communications
  • Answering phones, directing calls, and taking messages

Administrative and Operational Support

  • Supporting attorney CLE requirements, bar association memberships, and marketing initiatives
  • Assisting with billing and accounting tasks as requested
  • Ordering office supplies and maintaining select office equipment
  • Notarizing documents

Office Management

  • Greeting visitors and managing building access
  • Assisting with general office upkeep and operations
  • Identifying and implementing process improvements to enhance workflow efficiency

Qualifications and Skills:

· High school diploma or equivalent required

· 2-5 years of business or administrative experience required; legal office experience strongly preferred

· Proficiency in Microsoft Office 365 (Word, Outlook, Excel)

· Exceptional attention to detail and organizational skills

· Strong written and verbal communication abilities

· Proven discretion handling sensitive, confidential, and privileged information

· Self-motivated with strong problem-solving skills and ability to take initiative

· Capacity to work independently and collaboratively in a fast-paced environment

· Adaptability and willingness to learn new systems and processes

· Positive, professional demeanor with strong client service orientation and ability to create a welcoming office atmosphere
