Job Description:
- Provides secretarial/paralegal assistance to agency executives in legal environments who have complex program or operational responsibilities. Performs research, management, and case investigative work.
- Drafts affidavits, pleadings, briefs, and interrogatories.
- Prepares exhibit books.
- Reads and summarizes depositions for trial use.
- Responds to plaintiff’s discovery requests.
- Interviews witnesses and defendants to prepare for trail.
- Uses word processing system to key, proofread and edit letters, memoranda, briefs, pleadings, expense, travel and miscellaneous forms from handwritten drafts, dictation and t typed drafts. Takes and transcribes legal dictation.
- Types routine correspondence.
- Answers telephone, take messages, direct calls, receive clients and distribute deliveries.
- Performs other assigned duties such as mail, creating case files and filing, completing and maintaining forms, and making travel arrangements.
- Considerable knowledge of the state and/or federal court systems and of legal case management and litigation support techniques.
- Considerable knowledge of legal terminology and office/administrative management ability with a variety of clerical/administrative duties.
- Ability to use word processing software/systems. Paralegal training or experience.
Skills required:
- Ability to draft letters and memos
- Skill in scanning documents
- Experience with document preparation (briefs and complaints)
- Knowledge of e-filing procedures and packaging/mailing
- Ability to schedule and manage meetings via Zoom and Teams
- Proficiency in maintaining calendars
- Capacity to handle confidential information
- Skill in screening and routing calls.

- Transcribes or types legal dictation with accuracy and attention to detail
- Prepares standard legal forms in compliance with established requirements
- Reviews and proofreads legal briefs, pleadings, transcriptions, and citations for accuracy and clarity
- Verifies the accuracy and completeness of citations and references
- Drafts and formats correspondence and other written materials
- Maintains confidential case files, follow-up records, and other essential legal documentation
- Learns and applies various electronic, manual, and computerized information systems used by the agency, office, or related units
- Prepares and formats legal documents in accordance with established standards and guidelines
- Scans and organizes documents for electronic and physical filing
- Schedules appointments and coordinates meeting logistics
- Manages and maintains calendars to ensure accurate scheduling and timely reminders
Work hours:
- 9:00 AM to 5:00 PM
- Lunch hour (unpaid): 1 hr
