Legal Assistant for General Practice Law Firm

Position Overview:
We are seeking a reliable, detail-oriented Legal Secretary/Receptionist to provide essential administrative and legal support. In this role, you will assist with answering phones, communicating with clients, managing case files, preparing invoices, drafting legal documents and handling day-to-day office operations. This position requires someone who is independent, organized, and able to manage tasks with minimal supervision.

Key Responsibilities:

  • Client Communication: Answering phones, taking messages, and updating clients on case status.
  • Administrative Support: Scheduling client meetings, managing calendars, and performing general office tasks.
  • Legal Drafting: Preparing and drafting invoices, letters, and other routine legal documents.
  • Case Management: Organizing and maintaining case files, ensuring all documentation is up to date.
  • Client Meetings: Assisting with client intake and preparing for meetings.
  • Independent Work: Ability to manage your workload independently and ensure tasks are completed efficiently.

Qualifications:

  • Previous experience as a Legal Secretary/Receptionist preferably in a general practice law firm.
  • Strong communication skills (both written and verbal).
  • Proficient in Microsoft Office (Word, Excel) and familiarity with case management software is a plus.
  • Knowledge and experience using Outlook Calendar and Email for scheduling, correspondence, and task management.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Ability to work independently with minimal supervision.
  • Must be punctual, reliable, and proactive.

Preferred Qualifications:

  • Experience in a general practice law firm is a plus but not required.

Location & Transportation:

  • The office is easily accessible by public transportation making it an ideal location for someone who takes public transportation.
