Role Overview

We are seeking a Lifestyle Administrative Coordinator to join our Dubai office. In this role, you will support the front and back-office teams by executing client lifestyle requests within the UAE. You will be responsible for ensuring clients’ requests are carried out quickly, accurately, and with the highest level of discretion.

Key Responsibilities

  • Coordinate and arrange day-to-day client lifestyle tasks (e.g., booking doctors, handymen, dry-cleaning, restaurants, house services, etc.).
  • Build and maintain a “little black book” of trusted local suppliers, service providers, and contractors, ensuring competitive rates and reliable service.
  • Act as the main point of contact with these suppliers, developing strong professional relationships to ensure priority service and smooth coordination.
  • Ensure that requests are handled within set deadlines and update internal systems.
  • Monitor quality of services delivered and report back to the front office team.
  • Maintain accurate records of all completed requests and associated costs.
  • Support the back-office team with additional administrative or coordination tasks when required.

What We’re Looking For

  • Fluency in Russian (spoken and written) and Upper-Intermediate English or higher.
  • Experience in Dubai: Long-term resident, familiar with local services, suppliers, and everyday administrative functions.
  • Strong coordination and problem-solving skills — resourceful and quick-thinking.
  • Clear and professional communication (verbal and written).
  • Prior experience in concierge, lifestyle management, hospitality, or admin roles is a strong plus.
  • Mature, reliable, and discreet, with the ability to handle sensitive matters responsibly.
  • Comfortable managing multiple tasks at once and working independently.
