1. Customs & Regulatory Compliance

  • Ensure all import and export shipments comply with Dubai Customs regulations, UAE Federal Laws, and free zone / mainland requirements.
  • Prepare, verify, and submit customs declarations through the Dubai Trade system (Mirsal II).
  • Maintain updated knowledge of HS codes, duty structures, exemptions, and VAT regulations.
  • Liaise with government bodies (Dubai Customs, Ports Authority, Chamber of Commerce, Ministry of Economy, Free Zone Authorities).

2. Import Clearance

  • Coordinate with shipping lines, freight forwarders, and clearing agents for timely release of import shipments.
  • Arrange and track Bill of Entry, import permits, and delivery orders.
  • Verify shipping documents (commercial invoice, packing list, certificate of origin, bill of lading/airway bill).
  • Follow up on inspection, duty payment, and delivery to warehouse.

3. Export Clearance

  • Prepare and validate export shipping documents (commercial invoice, packing list, COO, export declaration).
  • File Export Declaration with Dubai Customs via Mirsal II.
  • Liaise with carriers (shipping lines/airlines) for booking and scheduling export cargo.
  • Coordinate with warehouse teams for cargo readiness, labeling, and container stuffing.
  • Ensure compliance with destination country import regulations.

4. Coordination & Communication

  • Act as the main contact point between suppliers, shipping lines, freight forwarders, customs brokers, and internal departments.
  • Provide updates on shipment status, expected arrival, and clearance progress.
  • Resolve clearance issues such as document discrepancies, customs holds, or inspection delays.

5. Documentation & Record Keeping

  • Maintain accurate records of customs documents, shipping invoices, and clearance approvals.
  • Prepare regular reports on imports, exports, and clearance performance.
  • Archive shipment files for audit and compliance purposes.

6. Cost Control & Efficiency

  • Monitor and control clearance-related expenses (duties, demurrage, detention, customs fines).
  • Negotiate rates with customs brokers and freight forwarders to ensure cost efficiency.
  • Ensure clearance is done within free storage timelines to avoid penalties.

7. Continuous Improvement

  • Stay updated on changes in customs regulations, HS codes, and trade agreements.
  • Suggest process improvements to reduce clearance delays.
  • Ensure company compliance during customs audits or inspections.
