Job Description
We are seeking a highly organized and proactive Maintenance Coordinator / Secretary with experience in building maintenance operations. The ideal candidate will be responsible for handling maintenance requests, coordinating with technicians and subcontractors, maintaining records, and ensuring smooth communication between tenants, management, and maintenance teams.
Key Responsibilities
Receive and record maintenance requests from tenants and clients.
Schedule and coordinate maintenance activities with technicians.
Follow up on open maintenance tickets and ensure timely closure.
Maintain maintenance records, reports, and documentation.
Coordinate with subcontractors and suppliers.
Prepare quotations, work orders, and service reports.
Update and manage maintenance tracking systems and spreadsheets.
Handle phone calls, emails, and customer inquiries professionally.
Monitor technician attendance and job completion status.
Support management with administrative and operational tasks.
Qualifications
Minimum 2–3 years of experience in building maintenance, facilities management, or maintenance coordination.
Strong knowledge of maintenance operations (AC, plumbing, electrical, civil works).
Proficiency in Microsoft Office, Google Sheets, and email correspondence.
Excellent organizational and communication skills.
