Job Description

MANAGER-HR & ADMIN

KEY RESPONSIBILITIES IN HR

A. Recruitment & Talent Acquisition

  • Develop recruitment strategies based on manpower planning.
  • Post job ads, source candidates, shortlist profiles, schedule interviews.
  • Coordinate interviews (online/onsite) and maintain candidate pipelines.
  • Conduct reference checks and verify documents.
  • Prepare offer letters and ensure smooth joining.

B. Onboarding & Induction

  • Conduct employee orientation and company policy briefings.
  • Ensure complete documentation: ID proofs, personal data, experience letters, bank details, etc.
  • Coordinate with IT/Admin for system access, ID card, SIM mapping.
  • Provide HRMS/Bitrix basic training.
  • Collect onboarding feedback after one week.

C. HR Operations & Attendance

  • Monitor attendance through HRMS/Bitrix.
  • Track daily attendance, leave, late-coming, and on-duty information.
  • Maintain HR records, employee files, HR databases, and registers.
  • Process payroll inputs: attendance, overtime, leave adjustments.
  • Ensure accurate and timely monthly salary preparation.

D. Employee Relations & Engagement

  • Act as the first point of contact for employee concerns and grievances.
  • Conduct employee engagement activities, special day celebrations, and team initiatives.
  • Maintain clear internal communication.
  • Promote positive work culture and employee motivation programs.

E. Performance Management

  • Coordinate weekly, monthly, and quarterly performance review submissions.
  • Assist department heads in creating/monitoring performance KPIs.
  • Manage performance improvement plans (PIP) and probation reviews.
  • Maintain appraisal and documentation records.

F. Policy Management & Compliance

  • Ensure employees follow company policies, rules, and code of conduct.
  • Maintain HR formats, policies, appointment letters, and statutory compliance records.
  • Support compliance activities (EPF/ESI attendance input, labor regulations, etc.).

G. Exit Management

  • Conduct exit interviews, collect handover documentation.
  • Coordinate asset return (ID, SIM, laptop).
  • Manage exit formalities: relieving letter, experience certificate, F&F documentation.
  • Deactivate HRMS/Bitrix access and remove from communication channels.

H. HR Reporting & MIS

  • Prepare and submit weekly, monthly, and quarterly HR reports:
  • WOM PPT
  • MOM PPT
  • HR dashboards
  • Recruitment status reports
  • Maintain accurate HR metrics and MIS monitoring.

KEY RESPONSIBILITIES IN ADMIN

A. Office Operations & Administration

  • Manage day-to-day office activities to ensure smooth operations.
  • Oversee office supplies, asset management, maintenance, and housekeeping.
  • Maintain vendor relationships for office services (cleaning, maintenance, travel, transportation, utilities, etc.).
  • Ensure functioning of office infrastructure—IT coordination, telephone systems, electricity, and workspace readiness.

B. People & Support Staff Management

  • Supervise housekeeping staff, security personnel, drivers, and office assistants.
  • Prepare staff duty rosters and ensure punctuality and performance.
  • Conduct periodic training for administrative/support staff.

C. Facility & Asset Management

  • Oversee building maintenance, repairs, and facility improvement tasks.
  • Ensure AMC (Annual Maintenance Contract) renewals for office equipment.
  • Maintain asset registers, inventory, and office equipment tracking.

D. Vendor & Purchase Coordination

  • Identify, negotiate, and finalize vendors for office-related purchases and services.
  • Ensure cost-effective procurement while maintaining quality.
  • Monitor vendor performance and timely service delivery.

E. Compliance & Policy Implementation

  • Ensure all office processes follow company policies and statutory requirements.
  • Manage documentation, agreements, and compliance with safety standards.
  • Support HR in implementing office discipline, attendance management, and employee support services.

F. Travel, Events & Visitor Management

  • Handle employee travel arrangements (tickets, accommodation, logistics).
  • Manage internal events, meetings, and conference room coordination.
  • Oversee visitor management and front office operations.

G. Reporting & Documentation

  • Maintain administrative MIS, expense reports, purchase logs, and vendor records.
  • Submit weekly/monthly reports on admin operations, maintenance status, and cost controls.

Qualification: MBA with minimum 5 years of experience

Pay: From ₹35,000.00 per month
