Marketing Administrative Assistant

Position Overview:

The Marketing & Communications team is looking for a highly organized, detail-oriented Marketing Administrative Assistant to help support our growing workload and expand the impact of our marketing efforts. This role is perfect for someone who enjoys keeping things running smoothly behind the scenes, loves organization, and is excited to learn and support a wide variety of marketing projects.

This position works closely with the Director of Marketing & Communications and the Communications Manager to support daily marketing operations, event preparation, website updates, and content coordination across multiple platforms.

Essential Job Duties:

Marketing & Administrative Support

  • Assist with daily marketing requests and help route tasks to the right team member
  • Manage calendars, timelines, and project trackers
  • Help maintain campaign schedules and deadlines
  • Provide general administrative support for the marketing team

Website & Digital Updates

  • Update event pages, sponsor listings, and general website content
  • Assist with adding new pages, banners, images, and small fixes
  • Support updates on the LMS (learning management system), including uploading documents and checking for accuracy

Email & Social Media Preparation

  • Upload content into email marketing software
  • Help draft simple email copy or prepare templates
  • Assist with organizing social media assets and photo folders
  • Support proofing and quality checks before emails or posts go out

Event Marketing Support

  • Assist with creating and updating event materials:
  • Registration forms
  • Signage
  • PowerPoints
  • Handouts
  • Agendas
  • Prepare and organize event photos and materials for albums
  • Support the team with prepping printed materials and packets

Digital Organization

  • Maintain clean and updated digital folders for marketing materials
  • Track sponsor logos, artwork, and updated graphics
  • Organize design assets and ensure the team has the correct versions

Publications & Mobile App

  • Upload publications to Issuu
  • Help update the mobile app with event items, speaker bios, visuals, and sponsor info

Education Program Support

  • Upload new education forms, graphics, and templates
  • Assist with keeping education pages and documents accurate and up-to-date

Analytics & Reporting

  • Pull basic analytics for web, social, and email
  • Assist in putting together monthly reports or dashboards

Other Duties as Assigned

  • Performs additional responsibilities and projects as requested to support departmental objectives and organizational priorities.
  • Provides flexible assistance during high‑volume periods or operational changes.
  • Collaborates with team members to address emerging needs not covered by routine duties.

Competencies:

  • Excellent writing, editing, proofreading, and verbal communication skills
  • Ability to work in a fast‑paced, results‑oriented team environment while managing details and overall goals
  • Proven experience juggling multiple deadlines, staying organized, and proactively driving tasks to completion
  • Comfortable working independently and collaboratively, with the ability to accept and integrate feedback
  • Demonstrated ability to handle confidential information with professionalism and discretion
  • Advanced knowledge of Microsoft Office (Word, PowerPoint, Excel)
  • Experience with WordPress and basic HTML
  • Familiarity with Canva or Adobe Creative Suite is a plus
  • Strong attention to detail, accuracy, and follow‑through
  • Highly organized and able to manage multiple priorities efficiently
  • Comfortable with digital tools and quick to learn new platforms
  • Proactive, dependable, and motivated to help the marketing team run smoothly

Required Skills and Experience:

  • Preferably Bachelor’s degree in business, communications, marketing, public relations, journalism, or related field
  • Minimum of 1 years experience in a similar role across multiple channels
  • Strong knowledge and understanding of digital/social media channels
  • Project management skills
  • Experience using marketing automation software
  • Prior member organization experience a plus

Physical Requirements:

  • Stand or walk 10% and sit 90% of the time.
  • Lift and carry up to 20 lbs. for a distance of 15 feet.
  • Visually distinguish between different colors.
  • Bend or reach to retrieve documents/materials.
  • Work at desk using computer (typing and using mouse) 90% of the time.

Schedule: Monday to Friday

Work Location: In-office/hybrid

Pay: $50,000.00 - $55,000.00 per year
