Overview

My Office Apps, Inc. is seeking a tech-savvy, creative, and detail-oriented Marketing and Operations Coordinator to join our growing team. This position plays a key role in supporting marketing initiatives, streamlining operational processes, and collaborating across departments—including marketing, sales, engineering, and project management.

The ideal candidate understands B2B business structure, thrives in a fast-paced environment, and brings both creativity and organizational precision to every project.

Key Responsibilities

Marketing & Communications

  • Design and manage digital and email marketing campaigns using tools such as Mailchimp, HubSpot, or similar platforms.
  • Create and edit marketing materials—including graphics, presentations, and collateral—using Canva and Adobe Creative Suite (Photoshop, Illustrator, InDesign).
  • Maintain and enhance the company’s digital presence through social media, newsletters, and web content updates.
  • Track and analyze marketing performance metrics, preparing reports and recommendations for improvement.
  • Support the sales team with client outreach materials, proposals, and lead generation activities.
  • Ensure brand consistency across all communications and marketing initiatives.

Operations & Administration

  • Coordinate activities across departments including marketing, sales, engineering, and project management.
  • Provide light accounting support, including expense tracking, purchase orders, and invoice reconciliation.
  • Support leadership with scheduling, meeting coordination, internal communications, and documentation.
  • Contribute to workflow optimization and process improvements using digital tools and automation systems.
  • Maintain CRM accuracy and support reporting for both marketing and operations functions.

Project & Cross-Functional Support

  • Collaborate with project managers on task tracking, timelines, and deliverable documentation.
  • Assist teams with research, reporting, and presentation preparation for clients and leadership.
  • Participate in company initiatives and special projects aimed at driving growth and operational excellence.
  • Serve as a key liaison ensuring smooth communication across all business functions.

Qualifications

  • Bachelor’s degree in Marketing, Business Administration, Communications, or related field.
  • 2–4 years of experience in marketing coordination, operations, or project support within a B2B organization.
  • Strong understanding of B2B business models, client lifecycles, and sales processes.
  • Proficient with:
  • Canva and Adobe Creative Suite
  • Email marketing platforms (Mailchimp, HubSpot, Constant Contact, etc.)
  • CRM systems (Salesforce, Zoho, or similar)
  • Project management tools (Asana, Monday.com, Trello)
  • Microsoft Office Suite and Google Workspace
  • Excellent written and verbal communication skills with strong organizational and multitasking ability.
  • Tech-savvy and eager to learn new software and systems to improve workflows.

Preferred Skills

  • Familiarity with QuickBooks or other accounting software.
  • Basic understanding of analytics, SEO, or online advertising platforms.
  • Ability to collaborate across diverse teams and adapt to changing priorities.
  • Interest in professional growth within marketing, operations, or business management.

Job Type: Full-time

Pay: $48,000.00 - $55,000.00 per year
