Job Overview
We are seeking a proactive and relationship-driven Outreach & Events Coordinator to lead customer engagement initiatives, strategic partnerships, and high-impact event execution. This role blends outreach, community building, and hands-on event logistics with strong digital storytelling to elevate brand visibility and deepen relationships with customers, schools, and industry partners.
The ideal candidate is highly organized, people-oriented, and digitally savvy — capable of building meaningful partnerships, coordinating seamless event experiences, and amplifying engagement through thoughtful, video-forward social content. This role plays a critical part in strengthening brand presence before, during, and after events while driving measurable engagement and revenue impact.
Key Responsibilities: Outreach & Partnerships
- Build and manage relationships with dental students, industry partners, and event organizers.
- Work with dental professionals to obtain and manage video testimonials and reviews
- Coordinate logistics for photo and video productions, both internally and externally
- Identify and evaluate outreach opportunities, including trade shows, conferences, vendor fairs, and community events based on audience relevance and ROI potential.
- Serve as the primary point of contact for external partners, ensuring clear communication, documentation management, and timely follow-through.
- Develop long-term partnership strategies to increase brand engagement and recurring collaboration opportunities.
- Track outreach touchpoints, engagement metrics, and partnership outcomes to inform future strategy.
Event Planning & Logistics
- Plan, coordinate, and execute events end-to-end, including registration, booth assignments, travel, shipping, staffing coordination, payments, signage, and post-event follow-up.
- Develop event timelines, budgets, and project plans to ensure efficient execution and cost management.
- Coordinate internal stakeholders (sales, marketing, leadership) to align event goals and expectations.
- Manage event-related requests and documentation, ensuring operational accuracy and compliance.
- Oversee raffle coordination, promotional materials, and on-site brand experience execution.
Customer Engagement & Social Media Management
- Lead multi-channel event promotion strategies with a strong emphasis on video and photo-driven content across social platforms.
- Capture and coordinate pre-event, on-site, and post-event content to maximize engagement and visibility.
- Create and manage social media posts, stories, short-form videos, and engagement campaigns tied to outreach initiatives.
- Ability to be on camera, both in photographs and videos, for marketing materials.
- Monitor engagement metrics and analyze performance to optimize future outreach and content strategy.
Sales & Operational Support
- Support sales teams by coordinating event participation, assisting with follow-ups, and ensuring timely lead routing and tracking.
- Monitor CRM pipelines to ensure leads generated from outreach efforts are actively worked on and properly documented.
- Maintain SOPs, templates, and workflows to improve event execution and cross-functional efficiency.
- Assist with onboarding and coordination for sales reps participating in events, including training resources and equipment management.
- Track demo inventory related to outreach activities and report discrepancies as needed.
Qualifications
- Proven experience in event coordination, outreach, partnerships, or community engagement roles.
- Strong understanding of social media marketing, digital content creation, and engagement strategy.
- Demonstrated ability to create compelling video and visual content for brand storytelling.
- Experience managing logistics, timelines, and budgets across multiple projects simultaneously.
- Strong copywriting and communication skills with the ability to engage professional audiences.
- Familiarity with CRM systems and performance reporting tools.
- Highly organized, detail-oriented, and capable of managing cross-functional collaboration independently.
