Job Purpose:

To coordinate and manage the preparation of RFQs, Quotations, and Technical Submittals for MEP materials and systems, ensuring accurate documentation, timely responses to client inquiries, and smooth communication between clients, suppliers, and internal departments.

Key Responsibilities:

1. RFQ Management

  • Receive, review, and log all RFQs from clients, consultants, and contractors.
  • Coordinate with suppliers and manufacturers to obtain the best possible pricing and technical offers.
  • Evaluate quotations from vendors and prepare comparative statements.
  • Ensure all RFQ responses are accurate, complete, and submitted before deadlines.

2. Quotation Preparation

  • Prepare and issue commercial and technical quotations as per project requirements.
  • Coordinate with the estimation and procurement teams to finalize costs and delivery terms.
  • Ensure all quotations are properly formatted, priced, and aligned with company standards.
  • Follow up with clients on submitted quotations and update the sales tracking sheet accordingly.

3. Submittal Preparation

  • Prepare technical submittals, data sheets, compliance statements, and material samples as required by clients or consultants.
  • Coordinate with suppliers to collect updated product catalogues, compliance certificates, and technical data.
  • Ensure all submittals are in line with project specifications and standards.
  • Track and record approval status of submitted materials and update project records.

4. Coordination & Communication

  • Act as a central point of contact between clients, suppliers, and internal teams for all technical and commercial matters.
  • Support the sales engineers in tender submissions, documentation, and client follow-ups.
  • Communicate delivery lead times, technical clarifications, and order progress updates to clients.
  • Maintain proper filing and documentation for all RFQs, quotations, and submittals.

5. Reporting & Administration

  • Maintain and update logs for all RFQs, quotations, submittals, purchase orders, and approvals.
  • Prepare weekly and monthly sales activity reports.
  • Support invoice preparation and payment follow-ups in coordination with accounts.

Qualifications & Experience:

  • Bachelor’s Degree or Diploma in Mechanical/Electrical Engineering or Business Administration.
  • 3–5 years of experience in MEP Sales Coordination, preferably in a Trading or Contracting environment.
  • Strong understanding of MEP systems, materials, and technical documentation.
  • Proficient in MS Office (Excel, Word, Outlook) and ERP systems.
  • Excellent communication and organizational skills.

  • Ability to handle multiple RFQs and submittals under tight deadlines.
  • Strong coordination between suppliers, clients, and internal departments.
  • Detail-oriented with excellent follow-up and documentation skills.
