Ministry Administrative Assistant

HOURS WORKED: 8-5 Mon-Thurs; Friday - as needed. Occasional special events/weekend rotation (33-40 hours/week).

POSITION SUMMARY: The administrative assistant provides administrative support services for the Executive Pastor of Ministries, Trinity Life Ministry, and limited support for Love Lubbock Pastor. Organizes the activities and functions of these ministries, and is the point person for all office processes/procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Organize and manage the day-to-day administrative activities for the ministry needs of the Executive Pastor of Ministries and administrative needs for Discipleship. Receipts and light duties for Love Lubbock. Duties include data entry, phone calls, calendars, visitors, emails, reports, accounting responsibility, errands, event registration, processes and procedures.
  • Touchpoint (church database) superuser. Go-to person for all TP info: data entry, weekly reports/rosters, attendance tracking, training DT leaders on how to use TP for classes, group, and discipleship purposes.
  • Establish and maintain calendar entries and whereabouts for EPM and Discipleship Pastor.
  • Assist with administrating and coordinating all events and activities connected to EPM and Discipleship pastor. This includes event registration, deposits, tracking of attendees, budget, vendor contact, supplies, calendaring, and reminders for supporting pastors.
  • Keeper of all people, processes and procedures.
  • Position will be responsible for keeping the team organized and on track with completing daily tasks and providing reminders to them as needed. Calendaring events, planning and organization prior to and leading up to the events.
  • Prepare and send out notices for meetings, and prepare agenda items and materials.
  • Monitor requests and follow-up for other church departments including marketing/media, facilities, AVL, etc. Master Calendar, and Espace and know how to utilize and enter information in each one.
  • Support team with social media and proofing as needed: newsletters, emails, marketing, promotional materials, etc.
  • Manage incoming phone calls and route as needed to team.
  • Help develop the Vision, Mission, and Values of Trinity Church; and commit to grow in personal discipleship through: equip classes, groups, prayer, giving of tithes and offerings
  • Must be a member/become a member of Trinity Church.

QUALIFICATIONS: 2-3 years related work experience and proven ability of strong administration skills. High-school diploma/GED required. Prefer experience with non-profit organizations. Combination of experience and education may be considered. Ability to plan and coordinate multiple projects; attention to detail; computer proficiency a must. Strong communication skills and flexibility/versatility to work with many different personalities. Must be able to take direction, be assertive and motivated to work independently without direct oversight. Best candidates will be those that exhibit a servant heart.
