Job Overview

The Payroll Specialist is responsible for managing and executing payroll. This role ensures accurate and timely payroll for employees with varying compensation structures, including salary, hourly, commissions, basis points, overrides, bonuses, and draws. The Payroll Specialist also ensures compliance with federal, state, and local labor regulations, while providing excellent service and support to employees and management.

Key Responsibilities

Payroll Processing

· Administer semi-monthly payroll for all employees, including Loan Officers, Branch Managers, Underwriters, Processors, and support staff.

· Accurately calculate and process commissions, basis points, overrides, bonuses, recoverable/non-recoverable draws, and expense reimbursements.

· Ensure proper PTO, sick leave, and holiday accruals in line with company policies and federal/state requirements.

Compliance & Reporting

· Maintain compliance with federal, state, and local wage and hour laws, FLSA, and mortgage industry-specific requirements.

· Prepare and submit payroll-related reports for management, HR, and accounting.

· Assist with audits, quarterly filings, and year-end reporting, including W-2s and 1099s.

Systems & Data Management

· Manage and maintain payroll systems (e.g., ADP Workforce Now or equivalent).

· Ensure accuracy of employee records, tax setups, direct deposits, and benefits deductions.

· Partner with HR and Finance to reconcile payroll accounts and resolve discrepancies.

Employee Support

· Serve as the first point of contact for payroll inquiries, including pay discrepancies, tax withholding, and timekeeping issues.

· Educate employees on payroll policies, PTO accruals, and commission structures.

Qualifications

Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • 3+ years of payroll experience, with at least 1–2 years in the mortgage or financial services industry.
  • Strong understanding of commission structures, recoverable draws, and mortgage compensation models.
  • Experience with payroll systems (ADP, Paychex, Paylocity, etc.) and Microsoft Excel.

Skills & Competencies

  • Detail-oriented with excellent analytical and organizational skills.
  • Strong knowledge of wage and hour laws, tax compliance, and multi-state payroll.
  • Ability to maintain confidentiality and handle sensitive payroll data.
  • Excellent communication skills to effectively interact with employees and leadership

Base Pay: $21.00 - $26.00 per hour
