Job Summary
The NEMT Dispatcher & Office Administrator plays a dual role in coordinating daily transportation operations while supporting administrative and office functions. This position ensures efficient scheduling and dispatch of drivers, maintains accurate records, supports compliance requirements, and provides professional customer service to clients, drivers, and partner facilities.
Key ResponsibilitiesDispatch
- Schedule, assign, and dispatch drivers for non-emergency medical transportation (NEMT) trips
- Monitor active trips to ensure timely pickups and drop-offs
- Communicate with drivers regarding routing, trip changes, delays, and emergencies
- Coordinate trip modifications, cancellations, and same-day requests
- Verify trip details including addresses, appointment times, and special accommodations
- Maintain accurate trip data in dispatch software and generate daily dispatch reports
- Resolve service issues and escalate operational concerns as needed
- Ensure compliance with company policies
Office Administration
- Answer and route phone calls, emails, and general inquiries
- Maintain organized electronic and physical filing systems
- Prepare and update schedules, reports, and internal documents
- Support onboarding documentation and maintain employee records
- Support management with clerical and administrative tasks as assigned
Qualifications & Requirements
- High school diploma or equivalent
- Previous NEMT dispatch, transportation, or office administration experience (preferred)
- Strong multitasking and organizational skills
- Excellent verbal and written communication skills
- Proficiency in dispatch software, Microsoft Office, and/or Google Workspace
- Ability to handle confidential and sensitive information professionally
