Position Overview

The Business Manager is responsible for overseeing agency financial operations, compliance reporting, resident trust account coordination, cost-center accounting, and nonprofit regulatory reporting. This role works closely with executive leadership, program supervisors, payroll vendors, auditors, and funding partners to ensure financial integrity across residential services programs.

This is a key leadership-support position within a CARF-accredited nonprofit residential services organization.

Core Responsibilities: Financial Operations & Reporting

  • Manage agency bank accounts, including operating, group home working funds, and petty cash
  • Maintain cost-center accounting structure and expenditure tracking
  • Prepare monthly and quarterly financial statements for leadership and the Finance Committee
  • Assist with annual agency budget development and monitoring
  • Coordinate and participate in annual external audit preparation
  • Enter and reconcile revenue by source (Medicaid, HUD, United Way, client payments, other funding streams)
  • Prepare vendor payments and maintain ledger accuracy
  • Issue IRS Form 1099s as required

Resident Funds & Program Accounting Support

  • Supervise resident financial accounts associated with SSI/SSA distributions
  • Prepare resident year-end cost reports
  • Monitor grocery charge sheets and spending compliance
  • Train residential staff on basic accounting documentation procedures
  • Support program supervisors in maintaining departmental budgets

Government & Funding Compliance Reporting

  • Prepare NC Income Tax Withholding submissions (monthly)
  • Prepare quarterly NC Unemployment Insurance reports
  • Coordinate employment reporting with external payroll provider
  • Submit semiannual sales tax refund documentation
  • Manage HUD-related reporting and payment requirements
  • Prepare quarterly United Way financial reporting
  • Submit monthly Medicaid billing documentation

Organizational Support Responsibilities

  • Support fundraising initiatives and community engagement activities
  • Participate in agency technology decisions affecting accounting systems
  • Maintain compliance with OSHA and NC workplace requirements
  • Provide occasional backup support to residential program operations when needed

Pay: $45,500.00 - $54,000.00 per year
